Office Services Coordinator
Location: Washington, DC (Onsite, 5 days a week – Dupont Circle)
Duration: 9/9/2025 – 1/2/2026 (Potential for conversion based on business need and performance; not guaranteed)
Shift: Monday – Friday, 7:45 AM – 5:00 PM (1-hour lunch)
About the Role The Office Services Coordinator provides administrative and office support to a small team or department. This role is part of Office Operations and focuses on creating a client-ready, professional office environment.
Work Environment
Office of approximately 250 employees across two floors (≈55,000 sq. ft.)
Badge access required; NDA signing required
Team of 3; front desk and walkthrough responsibilities
Professional dress required
Hands-on duties include running dishwasher, minor maintenance (coffee machine, CO tanks), loading printers, wiping surfaces, etc.
Front-facing role for VIP visitors; high level of hospitality and guest experience
Key Responsibilities
Provide routine reception and administrative support under direct supervision.
Receive and direct incoming calls and visitors to appropriate personnel.
Solve routine issues independently; escalate complex issues appropriately.
Maintain client-ready reception areas, conference rooms, and other common spaces.
Request building and equipment services as needed.
Perform general clerical duties: distribute/track packages, post mail, arrange messenger services, troubleshoot missed deliveries.
Schedule and coordinate office meetings: reserve conference rooms, manage equipment, arrange catering.
Order office supplies and maintain inventory of commonly used items.
Ensure proper maintenance of office equipment (copiers, printers, phone systems) and resolve minor equipment problems.
Maintain off-site storage records (tape backups, hard copies).
Maintain vendor relationships for services and goods, and ensure proper invoice coding for expense tracking.
Provide information for expense allocation related to brokers, projects, or listings.
Perform other duties as needed.
Make decisions within general company procedures; errors may have short-term impact.
No formal supervisory responsibilities.
Must-Have Skills & Experience
High School Diploma or GED required.
Minimum 1 year of relevant experience (Front Desk, Concierge, Customer Service, or Hospitality).
Strong hospitality, customer service, and interpersonal skills.
Ability to comprehend instructions, memos, and correspondence; ask clarifying questions.
Ability to write routine reports and correspondence.
Ability to respond to client, coworker, and supervisor inquiries or complaints.
Basic knowledge of financial terms and principles; ability to calculate simple figures (percentages).
Ability to maintain cleanliness and organization of common areas via office walkthroughs.
Problem-solving skills with basic analytical ability.
Intermediate proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams).
Ability to work flexible schedules based on business needs.
Physical Requirements
Ability to lift up to 40 pounds.
Frequent physical activity: setting up meeting rooms, walking office space, managing office supplies.
Ability to stand for extended periods.
