Position Profile
The Office Services Coordinator is responsible for delivering a positive first impression and exceptional service to clients, visitors, and staff. This role supports daily office administration, conference and meeting coordination, client visits, and general clerical functions. The Coordinator ensures smooth day-to-day operations while representing both Ricoh and the customer’s culture in a professional manner. Responsibilities
Greet and welcome visitors, clients, and guests; validate against guest list, issue badges, and provide parking validation as needed. Serve as a concierge for guests and staff, providing tours and offering recommendations for hotels, restaurants, and local points of interest. Schedule and manage conference rooms; ensure rooms are properly set up and equipped with necessary supplies and audio-visual technology prior to meetings. Coordinate catering for meetings and events, working with internal staff and external vendors. Prepare signage, workspace, and logistics for key client visits. Support company events, group functions, and departmental activities such as parties and team meetings. Provide clerical and administrative support, including copying, mail services, shipping/receiving, and maintaining phone and speed dial lists. Assist Executive Assistants with backup clerical tasks and support executive-level client-facing staff. Handle client travel arrangements where required. Assist in daily facilities management and vendor coordination for special projects. Create proposals in customer systems and provide support in a print production environment. Perform other duties as assigned while maintaining the professional culture of both Ricoh and the customer. Qualifications
High school diploma or equivalent required. 1–3 years of experience in a related role; experience in a headquarters or corporate environment preferred. Strong organizational and coordination skills with keen attention to detail. Excellent customer service and interpersonal communication skills. Proficiency with Microsoft Office Suite and general PC skills. Problem-solving ability and adaptability in a fast-paced environment. Ability to operate audio-visual equipment and support meetings.
