School Accountant
Location: Waltham, MA Reports to: CFO Position Overview
Milestones Day School and Transitions Program is a year-round private special education school (elementary, middle, high school, & post high school) located in Waltham, MA and works with students with autism spectrum disorders, learning disabilities, and a variety of attention and/or mental health challenges. We serve students ranging in age from elementary grades through post high school, and our staff work in multi-disciplinary teams to support students in particular grade cohorts. We are currently recruiting for a School Accountant to join our team. We are seeking a detail-oriented and experienced School Accountant to support daily financial operations, ensure compliance with accounting practices, and support the school’s mission through accurate and efficient financial management. The ideal candidate will be able to manage multiple priorities in a dynamic school environment while maintaining the highest standards of confidentiality, customer service, and community. Key Responsibilities
Accounts Payable
Enter invoices and bills into QuickBooks Process weekly check runs Allocate and reconcile credit card transactions Manage petty cash Accounts Receivable
Monitor and follow up on past due district payments via email Record deposits into QuickBooks Billing
Prepare and email monthly tuition invoices through QuickBooks Maintain accurate student billing rosters in Excel Send, track, and maintain student contracts and related files Other billing as needed, e.g. parents for after school clubs Payroll/Human Resources
Manage employee time and attendance in iSolved Maintain payroll records in Excel and process payroll via iSolved Onboard new hires into payroll and timekeeping systems Troubleshoot employee login and access issues Partner with and collaborate with HR as needed on payroll, hiring, and timekeeping issues and onboarding as it pertains to the HR system Additional Duties
Handle interruptions and shifting priorities with professionalism, friendliness, and patience Support school leadership with financial reporting as needed Maintain strict confidentiality regarding student, family, and staff information Qualifications
Bachelor’s degree in Accounting, Finance, or related field preferred 3–5 years of accounting experience (school or human services setting a plus) Proficiency in QuickBooks, Excel, and iSolved (or similar payroll system) Strong organizational and communication skills Ability to work independently and collaboratively Commitment to the values and mission of Milestones and special education Compensation & Benefits
Competitive salary range of $70,000 – $78,000 6 weeks of paid Vacation including earned PTO and paid pre-scheduled school breaks. Earned PTO includes 5 Vacation Days, 8 Sick days, and 2 Personal days in addition to scheduled holidays. Earn 1 additional Vacation day after 1 year of service, 2 after 2 years of service, 3 after 5 years of service, 4 after 10 years of service, & 5 days after 15 years of service.
