POSITION SUMMARY:
The HAF Program Intake Specialist & Coordinator is responsible for supporting the effective daily operations of the Homeowner Assistance Fund (HAF) Program. This individual serves as the first point of contact for Tribal members seeking assistance, providing client intake, appointment scheduling, document processing, and participant support. The position requires strong administrative skills, excellent communication, and a high level of professionalism.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Program Intake and Client Support
Serve as the first point of contact for all inquiries, both phone and in-person, regarding the HAF Program. Conduct intake interviews and assist applicants with completing program forms and documentation. Review applications for completeness and eligibility; communicate with applicants to resolve any missing or additional documentation requirements. Schedule appointments and coordinate communications with clients to facilitate program participation. Provide ongoing support and information to program participants during their enrollment Maintain accurate, confidential participant files and records according to program and grant requirements. Input and update participant data in the program tracking system to support reporting and compliance. Collaborate with the Compliance Officer to ensure all documentation meets program standards and grant guidelines. Manage general administrative duties, including answering phones, handling correspondence, and organizing files. Maintain a professional, welcoming, and culturally respectful office environment for Tribal members seeking assistance.

EQUIREMENTS Education and Experience High school diploma or GED required; some college coursework or relevant certification preferred. Minimum 2 years of experience in office administration, customer service, or related roles. Experience working within Tribal communities or housing assistance programs is preferred. Skills and Abilities
Strong interpersonal and communication skills, with the ability to engage respectfully with diverse populations. Detail-oriented, highly organized, and capable of managing multiple tasks efficiently. Proficient in Microsoft Office (Word, Excel, Outlook) and data entry systems. Ability to maintain confidentiality and handle sensitive information professionally.
Language Skills
Ability to read and interpret documents such as contracts, memorandums of understanding or agreement, operating and maintenance instructions and policy and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to community members, employees of the organization and representatives from other agencies and businesses working with the Tribe. Ability to maintain high level of confidentiality.
Mathematical Skills
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference and volume. Ability to apply concepts of basic algebra and geometry.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Licenses or Certificates
Must pass a criminal background check prior to employment and periodically throughout employment.
Must have and maintain a valid and unrestricted Washington State driver's license. Driver's license must not contain any restrictions that would prevent the employee from driving a GSA vehicle.
Other Skills and Abilities
Must maintain confidentiality at all times. Position requires good attendance and adherence to all policies including the attendance policy. The employee must be at work from 8:00 am to 5:00 pm Monday - Friday, except for a lunch break.
