Position Summary The CSR / HVAC Parts Specialist serves as the frontline liaison between customers and the company, ensuring exceptional service while managing HVAC parts inventory and order fulfillment. This hybrid role combines customer service excellence with technical knowledge of HVAC systems and components.
Key Responsibilities
Customer Service
Answer incoming calls and respond to customer inquiries professionally and promptly
Schedule service appointments and dispatch technicians efficiently
Provide accurate information regarding services, warranties, and parts availability
Resolve customer complaints and concerns with empathy and efficiency
Maintain detailed records of customer interactions and transactions
Parts Management
Receive, stock, and organize HVAC parts and supplies
Identify and source required parts for service technicians and customers
Maintain inventory accuracy through regular cycle counts and audits
Process purchases orders and returns with vendors
Ensure timely delivery and tracking of ordered parts
Warranty parts process and credits in a timely manner
Administrative Support
Prepare invoices, quotes, and work orders
Assist with data entry and updating CRM systems
Collaborate with technicians and management to ensure smooth operations
Monitor online dispatching boards and service pipelines
Qualifications
Previous experience in a call center or customer service environment is .
Proficiency in data entry, analysis skills, and Microsoft Office applications is essential.
High school diploma or equivalent (associate’s degree )
2+ years of experience in HVAC, customer service, or parts management
Strong knowledge of HVAC systems and components
Excellent communication and interpersonal skills
Proficiency in MS Office and dispatching software (Service Titan)
Ability to multitask in a fast-paced environment
Detail-oriented with strong organizational skills
