The CommUniverCity Department Analyst provides comprehensive administrative, budgetary, and program support for CommUniverCity, a three-sector partnership between San José State University, the City of San José, and local community residents. Reporting to the Executive Director, this position serves as the on-campus point of contact and “first impression” for visitors, including faculty, students, donors, government representatives, and community partners.
The Analyst oversees daily office operations, student staff coordination, and community project support while managing budgets, grants, and procurement processes. Key responsibilities include scheduling and event coordination, payroll and HR processing, financial tracking and reporting, and website and communications support. The position also plays an essential role in managing service-learning projects, fostering community engagement, and ensuring alignment with CommUniverCity’s mission to deliver high-impact educational experiences that address neighborhood-defined goals.
Key Responsibilities
Provide management and oversight of clerical and administrative support functions for CommUniverCity’s Clark 105 office suite. Coordinate volunteers, interns, and student staff to assist with administrative functions and community-engaged learning projects. Maintain calendars and schedules for administrators; arrange meetings, travel, reimbursements, and office supplies/equipment. Support CommUniverCity communications, including website updates, media content, print and online calendars, and event materials. Process faculty and student appointments, HR paperwork, and payroll across SJSU, Tower Foundation, and Research Foundation. Manage budgets and grants (~$600,000 annually), including forecasting, tracking, reconciling accounts, and preparing reports. Provide detailed budget analysis and reporting to the Executive Director; address auditing and post-award compliance. Manage recruitment, supervision, and mentorship of interns and project staff to deliver high-impact community projects. Coordinate community outreach and special events, including the bi-annual Celebrating Partnerships event and Steering Committee meetings. Serve as a professional liaison and brand ambassador to faculty, students, donors, elected officials, community organizations, and university stakeholders. Knowledge, Skills & Abilities
Ability to communicate with diverse constituents in a professional and respectful manner. Strong organizational skills with the ability to work independently, manage multiple priorities, and complete tasks on time. Ability to make independent decisions, exercise sound judgment, and apply policies and procedures appropriately. Thorough knowledge of English grammar, business writing, punctuation, and spelling; ability to compose and format reports and correspondence. Strong analytical and quantitative skills, including performing business math, analyzing budgetary data, and making accurate financial projections. Proficiency with office technology and systems such as Microsoft Office Suite, Google Drive, PeopleSoft, OU Campus, and Adobe products; ability to serve as the office IT specialist. Excellent interpersonal, verbal, and written communication skills with a demonstrated ability to handle sensitive situations and maintain confidentiality. Required Qualifications
A bachelor's degree and/or equivalent training Administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs Preferred Qualifications
Experience with spreadsheets and financial systems to prepare, track, reconcile budgets/expenses, perform business math, analyze data, and make projections Experience planning and coordinating events with diverse stakeholders (government, academia, community residents) Experience with CSU systems including procurement cards, CSUBuy, onboarding, grant management, and related processes Proficiency in PeopleSoft/Oracle, OnBase, Adobe, Google Workspace, MS Office, DocuSign, and database/administrative support tools Compensation
