Litigation Legal Secretary Job Description

Hybrid Schedule: 2-3 Days In-Office Per Week

Position Overview

We are seeking a detail-oriented and experienced Litigation Legal Secretary to join the team of a leading international firm’s Minneapolis office. The ideal candidate will possess 2-10 years of litigation legal secretarial experience, with a proven track record in supporting attorneys through all phases of litigation. This role requires expertise in creating complex Tables of Contents and Tables of Authorities, as well as proficiency in both state and federal court e-filing procedures.

Key Responsibilities

  • Provide comprehensive administrative support to litigation attorneys, including document preparation, filing, and correspondence management.
  • Draft, format, and file legal documents, including pleadings, motions, discovery requests, and responses.
  • Create, review, and revise Tables of Contents and Tables of Authorities for legal briefs and filings with a high degree of accuracy and attention to detail.
  • Manage and execute state and federal e-filing processes, ensuring compliance with court rules and deadlines.
  • Maintain and organize case files, exhibits, and related material in both electronic and physical formats.
  • Coordinate attorney calendars, schedule meetings, court appearances, depositions, and manage deadlines.
  • Communicate effectively with clients, court personnel, and opposing counsel as needed.
  • Assist with trial preparation, including assembling binders, exhibits, and witness lists.
  • Perform other related duties as assigned to ensure efficient operation of the litigation team.

Qualifications

  • 2-10 years of experience as a litigation legal secretary, ideally within a law firm environment.
  • Demonstrated expertise in preparing detailed and accurate Tables of Contents and Tables of Authorities.
  • Hands-on experience with state and federal e-filing systems and procedures.
  • Strong knowledge of court rules, deadlines, and legal terminology.
  • Exceptional organizational skills and the ability to prioritize and manage multiple assignments in a fast-paced environment.
  • Excellent written and verbal communication skills with attention to detail.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and legal document management software.
  • Ability to work independently and collaboratively within a team.
  • High degree of professionalism, confidentiality, and reliability.

Work Schedule & Location

  • Hybrid work model: 2-3 days per week required onsite; remote work permitted other days.
