Red House Building is seeking a detail-oriented and organized Office Administrator to support our Accounts Payable process and general office operations. This key role ensures the accurate and timely processing of invoices, vendor documentation, and administrative records. The ideal candidate will bring strong organizational, communication, and problem-solving skills, and enjoy working in a collaborative office environment.
Key Responsibilities
Accounts Payable Preparation
- Invoice Management: Oversee the full invoice cycle, including distribution, review, approval, and data entry into AP/AR Automation Systems and QuickBooks.
- Reconciliation: Match and reconcile vendor statements with company records, investigating any discrepancies or outstanding payments.
- Payment Processing: Prepare payment batches for Office Manager review and processing.
- Compliance: Ensure all receipts are downloaded, filed correctly by job, and follow up with vendors for any missing documentation.
Document Management & Compliance
- Record Keeping: Scan, file, and organize a high volume of physical and digital documents. Convert files into required formats.
- Subcontractor Compliance: Collect and maintain up-to-date W-9s, Certificates of Insurance (COIs), and workers’ compensation documentation.
Administrative & General Office Support
- Team Assistance: Provide clerical support to the Office Manager, HR, and Payroll departments. Serve as a backup to the Office Manager when needed.
- Office Maintenance: Help maintain a tidy and efficient office environment; assist with facilities and event coordination.
- Vendor Communication: Act as a point of contact for internal staff and external vendors regarding payment inquiries.
Required Skills & Qualifications
- Accounts Payable Knowledge: Strong understanding of AP procedures and basic accounting principles.
- Software Proficiency: Experience with (or willingness to learn) QuickBooks and AP/AR Automation Systems. General computer literacy is essential.
- Organization & Time Management: Ability to handle multiple tasks and meet deadlines in a fast-paced setting.
- Communication Skills: Professional verbal and written communication with internal teams and vendors.
- Attention to Detail: Accurate data entry and document handling to avoid financial errors.
- Confidentiality: Ability to manage sensitive financial and personnel information discreetly and responsibly.
