Position Location and Reporting: The Accounts Payable Specialist, under the guidance of the Senior Accounts Payable Manager, is responsible for the daily execution of accounts payable activities, including invoice processing, vendor communication, and support for monthly close. This role ensures all transactions are accurate, timely, and compliant with company policies.
Responsibilities
Monitor and manage the AP inbox; respond to inquiries and resolve issues promptly.
Process a high volume of invoices across multiple entities, ensuring accuracy with purchase orders and general ledger coding.
Perform vendor statement reconciliations and investigate discrepancies.
Assist in vendor setup and maintenance, ensuring complete and accurate documentation (e.g., W-9s, COIs, 1099s).
Maintain positive relationships with vendors and internal stakeholders; communicate clearly regarding invoice changes or clarifications.
Support the month-end close and annual audit through accurate documentation and reporting.
Assist with ad-hoc tasks, reports, and projects as assigned.
Qualifications & Education & Experience
2+ years of hands-on accounts payable experience, ideally in a fast-paced, multi-entity environment
Proficiency in managing high-volume invoice processing with strong attention to detail and accuracy
Experience with vendor setup, maintenance, and communication, including W-9s, 1099s, and COIs
Familiarity with purchase order matching and general ledger coding
Working knowledge of accounts payable best practices and internal controls
Strong organizational and time management skills with the ability to meet deadlines
Clear and professional written and verbal communication skills
Ability to work both independently and collaboratively within a team
Experience with Coupa and Sage Intacct is strongly preferred
Proficient in Microsoft Excel and other common office tools
Work Arrangement:
