Position Summary
Under the direct supervision of the Executive Director of the Career Center, this position provides comprehensive administrative support to the Executive Director of the Career Center, Director of Employer Relations, Director of Career Development and Programs, and Director of the UGA Mentor Program. Responsibilities include managing complex calendars, coordinating travel arrangements, preparing expense reimbursements, maintaining confidential files, managing facilities maintenance issues, advising on safety and security guidelines and protocols, budget support, and event budget tracking. The role also encompasses a broad range of office administration tasks and supervising front desk operations, including hiring, training, and scheduling 3-4 student assistants and one full-time staff member.
Additionally, the position coordinates the annual student hiring process, liaises with DAR HR for staff and student hiring needs, and provides support to search chairs during job searches and interviews. The role requires independent judgment to plan, prioritize, and organize a diversified workload and to suggest improvements to office practices. This position is integral to the department’s mission, ensuring excellent customer service and maintaining an organized Career Center operation.
Responsibilities
- General Career Center Administrative Support: manage complex office tasks, word processing, spreadsheet development, mail merges, correspondences, budget support, purchasing, and event-related duties.
- Supervise front desk staff (3-4 student assistants and 1 full-time staff), including hiring, training, scheduling, and performance management.
- Coordinate the annual student hiring process and serve as liaison to DAR HR for staff and student hiring needs.
- Manage day-to-day logistics of the Career Center, facilities maintenance, safety guidelines, and office supplies.
- Coordinate online, in-person, and phone student appointments; manage Handshake scheduling; support office functions and priority initiatives.
- Manage departmental accounts, including email and DocuSign workflows; supervise purchasing and reimbursements.
- Provide executive administrative support to the Executive Director and other senior staff as listed; assist with travel arrangements, reimbursements, and confidential files.
- Greet visitors, check in students for appointments, answer main phone line, and direct calls as appropriate.
Executive Administrative Support (percentage of time: 20)
- Manage complex calendars, travel arrangements, and appointment scheduling for senior leaders.
- Prepare travel and expense reimbursements; maintain confidential files; monitor correspondence; and support policy/procedure development and reporting.
- Assist with duties to meet goals and deadlines and provide staff with required administrative support.
Other Duties (percentage of time: 5)
- Other duties as assigned, including potential participation in Career Fairs and special projects.
Qualifications
Minimum Qualifications
- High school diploma or equivalent and 5 years of related experience.
Preferred Qualifications
- Progressively responsible experience in a fast-paced, student-centered environment.
- Effective supervisory skills and experience.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Excellent oral and written communication; strong organizational abilities; ability to prioritize and provide solutions; extensive project management and event planning skills; collaboration and adaptability.
Knowledge, Skills, Abilities, And/or Competencies
- Professional office experience with strong communication and organizational skills.
