Job Title: General Office Coordinator

Location: Pleasanton, CA 94588 (starting) → moving to San Leandro, CA 94577 on 10/31

Shift: 1st Shift, Monday–Friday, 7:30 AM – 4:30 PM

Duration: 6-month assignment with possible extension based on performance (not guaranteed)

Schedule: No remote or hybrid work; must commute daily

Job Description:

We are looking for a detail-oriented and personable General Office Coordinator to join our team and help keep our office operations running smoothly and professionally.

About the Role:

  • We are looking for a detail-oriented and personable General Office Coordinator to join our team and help keep our office operations running smoothly and professionally.
  • This is a hands-on role supporting daily administrative and financial tasks, ensuring that internal teams and external customers receive efficient support.
  • You will start in our Pleasanton office and transition to the San Leandro location at the end of October.

Key Responsibilities:

  • Manage administrative duties such as project invoicing, certified payroll, and collections.
  • Set up and maintain records for new customers and vendors.
  • Create and track purchase orders.
  • Oversee accounts payable using the RSO system (ReadSoft).
  • Prepare and maintain key reports (safety, Smartsheet, support requests).
  • Attend meetings and contribute to ongoing process improvements.
  • Perform other office-related tasks as needed to support smooth operations.

What We’re Looking For:

  • Resident of Northern California able to commute daily to Pleasanton and San Leandro offices.
  • Minimum 3 years of office experience.
  • High school diploma or equivalent.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
  • Team player who thrives in a fast-paced environment.

Preferred Qualifications: (not required but highly valued):

  • Experience with construction billing and lien releases.
  • Background in collections and accounts receivable.
  • Knowledge of certified payroll and prevailing wage regulations.
  • Advanced skills in Microsoft Outlook, Teams, and Excel.
  • Familiarity with Smartsheet software.
