Overview

We are seeking a motivated, highly organized, and detail-oriented Office Administrator to support the daily operations of our nonprofit organization. This role will handle a variety of administrative tasks to ensure the smooth and efficient functioning of the office such as managing schedules, data entry, handling correspondence, clerical tasks, maintaining records, supporting fundraising and program activities. The Office Administrator is part of our team and will work closely with several departments. The ideal candidate can manage multiple priorities in a fast-paced environment, has a professional background, can be proactive, and values making a difference in the community.

Job Details

  • Job Type: Part-Time, 30 hours per week, Non-Exempt
  • Reports To: Business Manager
  • Location: Flat River Outreach Ministries (FROM), Lowell, MI (local in-person work required)
  • Pay: From $16.00 per hour
  • Expected hours: 30 per week

Essential Functions

Administrative Support

  • Create a welcoming environment by greeting the public, vendors and visitors with a helpful attitude
  • Maintain a schedule for receptionist area with volunteer workforce
  • Provide support to Executive Director and Business Manager for various tasks
  • Assist with coordinating special events including annual fundraisers, volunteer appreciation, and other events
  • Print professional letters including donation acknowledgements and other notes for Business Manager & Executive Director
  • Coordinate conference room schedules for outside groups and internal meetings
  • Prepare conference rooms for staff-led meetings including setting up tables, chairs and other items
  • Coordinate staff enrichment activities and outings
  • Coordinate catering orders (pick up/delivery) as needed
  • Provide basic FROM program information to visitors
  • Monitor a shared inbox and distribute incoming emails to appropriate staff
  • Direct phone calls and in-person inquiries to appropriate staff
  • Handle all mail and deliveries
  • Update digital sign for current sales or activities
  • Post signs and flyers throughout the building
  • Lift and transport donated food and other items to designated areas, as needed
  • Record incoming financial donations
  • All other tasks as assigned by Business Manager to ensure effective organizational operation

Facility Maintenance

  • Schedule contractors for installations and building maintenance
  • Assist with directing contractors and maintenance volunteers for on-site activities, indoors and outdoors
  • Maintain office and cleaning supply inventories

Required Skills & Qualifications

  • Willing to support FROM’s goals, values, and vision
  • High school diploma
  • At least five years of experience in public-facing administrative activities
  • Proficiency in Microsoft Office
  • Demonstrated ability to manage multiple projects with set deadlines/guidelines
  • Strong verbal and written communication skills
  • Able to work independently with good organizational and time-management skills
  • Ability to build and maintain mutually respectful relationships with a diverse population
  • Detail oriented with focus on service to others
  • Excellent professional phone skills
  • Ability to adapt to changing situations as part of a team
  • Valid driver’s license and reliable transportation
  • Must be available for in-person work, Monday through Thursday 8:30 am – 3 pm, Friday 9 am – 1 pm, Flexible schedule to accommodate occasional evening/weekend events
  • Generally low noise levels in an office environment
  • Professional appearance (business casual attire)
  • Walking and standing for extended periods of time
  • Frequently move items up to 25 lbs. for 50 feet or more
  • May involve repeated reaching, crouching, kneeling, stooping
