The Office Administrator at Harvest Bible Chapel plays a key role in keeping church operations organized and running smoothly. This role manages calendars, schedules, and information systems, while serving as the first point of contact for calls, emails, and visitors. By overseeing office systems, Planning Center, and Google Drive, this role provides essential support that allows pastors, staff, and ministries to focus on making disciples.

Skills & Responsibilities

  • Administrative Management:
    • Maintain and oversee office systems, supplies, and resources to ensure smooth day-to-day operations.
    • Serve as the first point of contact for all incoming phone calls, emails, and general inquiries.
    • Support pastoral staff and ministry leaders with administrative tasks as needed.
  • Scheduling & Coordination:
    • Organize and manage church and office calendars, including ministry events, meetings, and facility scheduling.
    • Coordinate with staff and volunteers to ensure clarity and alignment of schedules.
    • Assist in preparing agendas, notes, and communication for staff and ministry meetings.
  • Information & Systems Oversight:
    • Manage church files and records across Google Drive, ensuring organization and accessibility.
    • Maintain and update Planning Center for ministry scheduling, event details, and communication.
    • Assist with database management and information flow between staff, volunteers, and members.
  • Hospitality & Communication:
    • Provide a welcoming presence for those visiting or contacting the church office.
    • Ensure that communication is clear, timely, and aligned with the mission of Harvest.
    • Support church-wide communication efforts as directed by leadership.

Experience & Qualifications

  • A strong personal commitment to Jesus Christ and alignment with the mission of Harvest Traverse City.
  • Previous experience in office administration or administrative support preferred.
  • Proficiency with Google Workspace (Docs, Sheets, Drive) and Planning Center (or willingness to learn).
  • Strong organizational and multi-tasking skills with keen attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to handle confidential information with discretion and professionalism.
  • Warm, hospitable, and servant-hearted demeanor.
