The Role

We’re hiring a highly organized Office Administrator to be the hub of our operations—keeping schedules tight, paperwork spotless, and communication clear between customers, techs, vendors, and leadership.

What You’ll Do

  • Scheduling & Dispatch Backup: serve as backup dispatcher/CSR when needed.
  • Permits & Compliance: Submit permit applications, schedule inspections, track approvals/COs, maintain licenses, COIs.
  • Job Files & Billing: Create and maintain job books (scope, photos, materials, specs), prepare invoices, collect payments/deposits, process change orders, issue lien releases when applicable.
  • AP/AR & Bookkeeping Support: Enter bills, match POs/packing slips, reconcile credit cards, follow up on past-due invoices; support monthly close with the accountant.
  • Procurement & Vendors: Order materials, track deliveries, manage returns/RMAs, maintain preferred vendor list and pricing.
  • HR & Payroll Support: New-hire onboarding (W-4, I-9, W-9 for subs), timecard audits, PTO tracking.
  • Fleet & Inventory: Track vehicle registrations, insurance, maintenance; monitor stock levels for common materials/tools and reorder thresholds.
  • Reporting: Weekly KPIs (booked jobs, close rate, average ticket, AR aging, job costs vs. estimate).

What You Bring

  • 2+ years in construction, trades, or home-services office admin (electrical strongly preferred).
  • Comfortable with ServiceTitan / Housecall Pro / Jobber (or similar), QuickBooks Online, Google/Microsoft Office.
  • Strong grasp of permits/inspections, basic accounting (AP/AR), and job costing.
  • Excellent phone etiquette, grammar, and follow-through; calm under pressure.
  • Ability to prioritize, protect technicians’ time, and meet deadlines with minimal oversight.

Nice to Have

  • Knowledge of NEC basics, common electrical materials, and permit workflows.
  • Experience with COIs, lien releases, subcontractor onboarding, and prevailing wage paperwork.
  • Spanish/English bilingual.
