Overview
Administrative Assistant II role at Koniag Government Services (KGS) supporting Kadiak, LLC, a Koniag Government Services company, in Washington, DC. Responsibilities
Prepare written communications using MS Word, MS PowerPoint, MS Publisher, MS Excel, and SharePoint. Assist with new hire orientation for Government employees. Arrange travel using the online Travel Manager System (E2): book tickets, hotels, rental vehicles, estimate per diem, and voucher travel upon return. Provide input into the Management Information System (MIS) and, with Government input, use MIS to report current and future activities. Track and report official time and attendance records for all federal employees within the office via Time and Attendance Electronic System (TATEL). Track and verify Government employee award/recognition payments and transit reimbursements. Respond to routine policy/procedure questions and provide reports such as turnover or time and attendance data. Process employees for DS badges through the MDIS/DOS enrollment system, PIN resets and unlocks. Utilize Federal personnel rules and regulations including the Foreign Affairs Manual Volume III (FAM-Personnel). Answer incoming calls professionally, forward calls, take messages, or resolve issues as warranted. Organize, type, collate and file sensitive material; maintain the Director’s calendar, guest log, appointments, and activities. Review incoming documents, take appropriate action, and distribute as needed; monitor memoranda, correspondence and taskers. Inform personnel of overdue items and upcoming deadlines; format and process documentation according to Department procedures. Prepare briefing materials and compile reports; provide support to other projects as required. Receive deliveries and coordinate outgoing shipments; stock and maintain photocopy and fax machines and supplies. Receive and sort incoming/outgoing administrative mail; maintain awareness of internal security policies and secure work at the end of the day. Greet visitors and maintain the visitor log-in files. Liaise with building management to report and resolve maintenance issues; operate office equipment such as scanners, telephones, intercoms, label printers, and cameras. Assist with ordering, tracking, and inventorying office supplies through multiple methods (GSA, CA internal, etc.). Qualifications
Ability to adapt to changes in procedures and assignments; ability to establish working relationships at all organizational levels. Expert knowledge and understanding of federal personnel rules and regulations including the Foreign Affairs Manual Volume III (FAM-Personnel). Ability to manage tasks and assignments accurately and to disseminate information to all office personnel and compile responses. Secret clearance required. Education
High school diploma (2-year college degree preferred). Work Experience, Knowledge, Skills & Abilities
Four (4) years of experience as an Administrative Assistant in an office environment. Two (2) years of experience supporting at an executive level. Five (5) years of experience utilizing MS Word, MS Excel, MS PowerPoint, MS Publisher, MS Outlook. Demonstrated experience with document management, preferably for a legal department or similar office. Demonstrated ability to prioritize and organize simultaneous workflow duties.
