The Administrative Assistant IV - Executive (Senior) is responsible for managing a wide range of office activities and transactions, maintaining detailed records, compiling reports, processing orders and invoices, responding to customer and employee inquiries, and overseeing office equipment operations. Manage correspondence, scheduling meetings, greeting visitors, maintaining books and databases, and providing general clerical support. Coordinate with executive assistants and management personnel across the Department, including scheduling meetings for the Executive Director, managing calendars, resolving conflicts, and ensuring materials are prepared and distributed promptly. Establish and implement internal procedures for timekeeping, invoice reconciliation, staffing coverage during holidays, and travel arrangements. Serve as the primary travel coordinator for the Executive Office, including preparing itineraries, reservations, authorizations, vouchers, visa applications, and eCountry clearance cables. Provide comprehensive support to the Executive Director, drafting memos for approval, keeping leadership informed on pending issues, conducting research and analysis, scheduling candidate interviews, and assisting with onboarding processes. Process confidential information, submit time and attendance reports, review correspondence, advise on personnel actions, maintain records and files, prepare work orders and weekly reports, coordinate meetings and conference calls, manage office supplies inventory, operate office equipment, and take meeting minutes. Interface with Department of State program participants, Executive Directors, and high-level contractor personnel; attend weekly meetings to plan program management strategy and inter-agency meetings addressing program issues. Process program-related documents, analyze and produce program reports, perform miscellaneous audits, develop and maintain program databases and master files, and instruct mid-level administrators and program users on procedures and policies. Address and solve program issues, produce special projects for DOS in Excel, MS Word, and PowerPoint, receive training requests, develop training rosters, assemble training materials, set up training rooms, brief trainees on application completion and accounting information, perform one-on-one training sessions, and brief Executive Directors on training materials. The Senior Executive position requires regular interaction with Deputy and Assistant Secretary-level personnel, including management of all logistical elements of Senior Executive meetings, travel, and event coordination. Education and Experience:
High School Diploma or GED; bachelor’s degree preferred Minimum of 5 years of executive-level office management experience supporting Senior Executive positions Civilian or Defense agency experience providing administrative support to Senior Executive roles is highly desired Required Skills
