Reporting to the Director of Resources and Operations (DRO) in the Lucas College and Graduate School of Business, the Administrative Analyst independently provides a broad range of administrative, technical and analytical duties of moderate to high complexity. The Analyst also works at the direction of the Associate Dean of Undergraduate & Graduate Programs on college-level assigned tasks. Working with the Director of SJSU Online, this position has responsibility for the day-to-day operations of the LCoB SJSU Online program. The LCoB SJSU Online Program Analyst is responsible for the appointment of program faculty; administrative tasks associated with faculty recruitment and evaluation; manages and tracks the program budget; inputs the class schedules; tracks enrollment; collaborates with all LCoB Staff as needed to plan program events; handles confidential information for faculty and students; distributes information to students, faculty and the general public; and serves as a liaison for the LCoB SJSU Online Program to other campus entities. Key Responsibilities
Develop and coordinate the academic year, summer and winter course schedules in collaboration with the School Director and in accordance with University Academic Scheduling Department procedures. Work with the Associate Dean of Undergraduate & Graduate Programs, Chairs/Directors, and Analysts for graduate program course scheduling. Perform edits during Academic Scheduling rounds and throughout the term. Coordinate SJSU Online term, multi-session course schedules in collaboration with Academic Innovation and Institutional Effectiveness. Guide the LCoB SJSU Online Program Director on campus processes. Produce all reporting related to SJSU Online Program enrollment and faculty pay. Guide SGI&L Undergraduate Committee through curriculum revisions in line with Undergraduate Studies Department guidelines and deadlines. Track student progress in basic undergraduate program certificates and submit paperwork for award of these certificates when requirements are met. Maintain, run and create reports. Run SJSU Labor Distribution reports monthly and other reports such as Enrollment, WTU tracking, Unaccommodated Demand, Entitlement and Assigned Time as needed. Oversee office operations during business hours and pursue process improvements to better serve students and faculty. Manage hiring, onboarding and tracking for Student Assistants and Graduate Assistants as needed; appoint Graduate Assistants upon direction from the LCoB Resource Team. Submit and manage facility-related requests and track work orders. Open/close the school office, answer phones, respond to inquiries, distribute mail, and perform front-office duties. Monitor and forecast revenue, budget, and expenditures for the LCoB SJSU Online Program and contribute to reporting and planning as directed. Analyze payroll expenditures using SJSU Labor Distribution reports; process revisions and faculty funding splits in collaboration with the LCoB Resource Team. Follow the SJSU travel guide and use Financial Transaction Services (FTS) for travel requests and reimbursements; assist faculty with travel arrangements and tracking funds. Identify and troubleshoot purchasing, accounts payable and budget issues. Prepare and process hiring documentation for SJSU Online Program and SGI&L faculty using CHRS and UP-FS guidelines; collect appointment documents as needed. Supervise the Annual Evaluation process for temporary faculty, including scheduling and recording peer evaluations; use eFaculty to create cases and review submissions. Lead faculty recruitment for Tenure-Track and Temporary faculty, ensuring compliance with university guidelines and coordinating travel itineraries for on-campus interviews. Knowledge, Skills & Abilities
Strong customer service orientation and ability to work with students, faculty and staff. Excellent oral communication and professional interaction skills. Ability to learn, interpret, and apply a wide range of policies and procedures related to human resources and university operations. Working knowledge of accounting structure, expense accounts and financial software; ability to analyze data and project outcomes. Proficiency with SJSU applications (FTS, CFS, SJSU@Work, MySJSU, eFaculty) and PC software (Zoom, MS Office, OnBase, DocuSign). Ability to manage multiple priorities, maintain confidentiality, and communicate respectfully with constituents. Qualifications
A bachelor’s degree and/or equivalent training. Administrative work experience involving study, analysis, and/or evaluation leading to policy or program improvements. Preferred Qualifications
Proficiency in Zoom, MS Office, OnBase and DocuSign. Experience in a customer service role. Experience with PeopleSoft, course scheduling, and Faculty Services/University Personnel procedures. Ability to prepare and reconcile budgets and financial documents; strong customer service orientation. Compensation
Classification: Administrative Analyst/Specialist – Non-Exempt Anticipated Hiring Range: $4,955/month - $5,954/month CSU Salary Range: $3,879/month - $7,488/month SJSU offers a comprehensive benefits package typically worth 30-35% of base salary.
