Overview
Executive Assistant to the Dean and Chief Administrative Officer (CDSS) at the College of Computing, Data Science, and Society (CDSS), UC Berkeley. Provides high‑level administrative support, ensures office operations run smoothly, and manages the Dean's complex calendar. Requires discretion, diplomacy, and the ability to prioritize across a dynamic portfolio and priorities within the Dean's office.
Responsibilities
Schedule all of the Dean's meetings, make travel arrangements, and manage high‑level, sensitive communications with internal and external contacts.
Gather and prepare background information, talking points, and briefing materials for the executive; assist in planning meetings and public events.
Understand the priorities and preferences of the Dean to manage the calendar and allocate time for scheduled events, travel, and meetings; independently investigate issues that arise within calendared engagements.
Participate in developing and implementing efficient systems for managing information, projects, and communications; partner with the Chief Administrative Officer to establish and manage these systems.
Act as the gatekeeper, prioritizing issues and diplomatically responding to requests for time and attention.
Manage administrative operations for the Dean's Office to ensure smooth operations.
Respond to inquiries from faculty, staff, students, and the public regarding campus operations, policies, and procedures; forward issues to appropriate staff for resolution and track inquiries to ensure timely handling.
Investigate issues and draft responses to urgent requests as needed.
Required Qualifications
Thorough knowledge of campus-specific and other computer application programs, including new office technology tools.
Political acumen and sensitivity to differing perspectives and political circumstances within all levels of the campus, Office of the President, and external constituencies.
Ability to exercise high-level discretion and maintain confidentiality; strong service orientation.
Strong communication skills with all levels of staff, faculty, alumni/donors, students, and external constituents, both verbal and written; ability to multi‑task under demanding timeframes.
Familiarity with campus processes, protocols, and procedures; knowledge of federal regulations such as FERPA.
Advising and counseling skills; solid problem‑identification abilities.
Bachelor's degree in a related area and/or equivalent experience/training.
