Job Summary

The Senior Administrative Assistant will provide executive-level support to three VPs in Global Sourcing and Procurement. This hybrid role requires a high level of professionalism, discretion, and multitasking in a fast-paced environment. The ideal candidate will bring expertise in calendar management across time zones, executive travel coordination, and document creation for leadership initiatives.

Key Responsibilities

  • Manage multiple calendars, including across Canada and Europe time zones
  • Schedule appointments, organize meetings, and handle logistics (catering, rooms, follow-ups)
  • Arrange domestic and international travel itineraries; process expense reports
  • Create and update PowerPoint presentations and administrative spreadsheets
  • Coordinate leadership roundtables and department meetings
  • Serve as proxy in corporate systems as needed
  • Back up other administrative professionals as necessary
  • Maintain accurate records and oversee file systems
  • Support trainings, conferences, and departmental communications

Required Experience

  • Proven experience in a corporate administrative support role
  • Calendar management across time zones
  • Executive-level travel planning and expense processing

Nice-to-Have Experience

  • Administrative support within global or retail organizations
  • Event planning or leadership support roles

Required Skills

  • Advanced Microsoft Office proficiency (PowerPoint, Excel, Outlook, Word)
  • Excellent written and verbal communication
  • Strong organizational and multitasking ability
  • Discretion with sensitive/confidential information
  • High attention to detail and adaptability
  • Ability to collaborate across departments and teams
