Job Summary
We are seeking an Executive Assistant (EA) to provide administrative and project support to multiple Brio senior leadership team members. The EA acts as primary point of contact for internal and external constituencies on all matters. The EA will be a highly self-motivated professional, capable of managing their workload, and prioritizing tasks in a fast-paced corporate environment. The EA understands that confidentiality and discretion are key to their role within the company.
What You Will Do
- Organizes executives’ days by managing calendars and scheduling appointments.
- Provides a bridge for smooth communication between executives and internal departments, demonstrating leadership to maintain trust and support with senior management staff.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the executives, including those of a sensitive or confidential nature.
- Works closely and effectively with executives to keep them well informed of upcoming commitments and responsibilities, then following up in a timely, appropriate manner.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting general correspondence, memos, and letters, many of which are confidential in nature.
- Prioritizes conflicting needs; handles all matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline requirements.
- Creates and maintain files, databases, and spreadsheets.
- Creates and updates presentations including charts, tables, graphs, while utilizing various software programs.
- Coordinates travel arrangements, compiles documents for travel related meetings and prepares Travel and Expense reports.
- Opens and distributes incoming mail to appropriate executives.
- Processes invoices for payment, after first assessing purpose, obtaining approval, and routing to appropriate party for payment.
- Prepares agendas, notices, and minutes for meetings.
- May be required to help maintain office systems, equipment, purchasing, pantry services, office events and new hire set-ups.
- Bachelor's degree or 5 years' experience in lieu of degree.
- 3+ years' experience as an Executive Assistant at a mid or large sized corporation.
- Strong knowledge of MS Office products, particularly Outlook, PowerPoint, Word, and Excel; adept with other general office technology.
- Effective written and verbal communication skills.
- Exceptional organizational skills: ability to perform and prioritize multiple tasks seamlessly with a high attention to detail.
- Balances being a consummate team-player while being resourcefully autonomous.
- Exemplary follow up skills; inspires trust that tasks and priorities will be met/exceeded.
- Strong interpersonal skills; builds relationships with all levels of stakeholders inside and outside the company.
