This individual will have a set schdule where they rotate amongst the buildings and assist buildings when there is an abence of the Administrative Assistant or Health Clerk.

Job Overview

The Floating Secretary is responsible for assisting in school offices throughout the district as needed. This individual will rotate amongst buildings and fill in for Building Administrative Assistants and Health Clerks when they are out of the building due to an absence.

Qualifications

  • High School Diploma or equivalency.
  • Formal First Aid, CPR and AED certification
  • Ability to maintain confidentiality
  • Ability to use office technology effectively and efficiently
  • Ability to maintain accurate and complete file records
  • Ability to use initiative and independent judgment
  • Ability to plan and organize work and projects
  • Ability to understand and effectively carry out oral and written instructions
  • Ability to effectively communicate (oral and written)
  • Ability to establish and maintain effective public, pupil and co-worker relationships
  • Working knowledge of English, spelling and composition
  • Bilingual Spanish, preferred

Performance Responsibilities

  • Performs usual office routines and practices associated with a productive and smooth-running office
  • Maintains such student records as shall be required
  • Maintains daily/weekly staff attendance log and arranges for substitutes
  • Places, receives, and routes incoming phone calls by answering questions according to school policy, taking messages for staff, and paging authorized personnel
  • Greets visitors courteously, determines their needs, and directs or escorts visitors to proper person
  • Maintains an organized work station
  • Receives, sorts and delivers incoming mail
  • Assists teachers in preparing instructional materials as requested
  • Inventories office/teacher supplies
  • Operates office equipment efficiently
  • Types a variety of material including correspondence, reports, notices, etc.
  • Maintains a regular filing system and files materials based upon the practice of the office
  • Assigned duties to and supervises work of office clerks/volunteers
  • Handles student registration/transfer
  • Counts monies and prepares deposits
  • Administer First Aid and medication to pupils
  • Other duties as assigned by Administration
