Job Summary
This Administrative Secretary role is 50% support for the Office of Student Involvement (OSI) and 50% support for Spiritual Life.
The Administrative Secretary for OSI will perform diversified administrative duties, interacting extensively with students and persons in all positions across campus. Responsibilities include executing office projects such as coordinating large scale events, Eagle Connect trainings, and Student Organization/Club management.
Responsibilities for OSI:
- Facilitate communication between students, parents, faculty, and staff, and the Office of Student Involvement.
- Maintain an organized and efficient office environment.
- Assist in the management of Eagle Connect and Student Organizations.
- Responsible for data entry and checking on Kronos and Banner.
- Assist in executing freshman orientation (IGNITE).
- Implement internal office procedures.
- Handle correspondence and documents involving confidential information.
- Provide leadership in arranging for special events.
- Schedule and assist in preparing agendas and taking minutes for meetings.
Responsibilities for Spiritual Life:
The Administrative Secretary provides clerical and hospitality support for the Office of Spiritual Life, ensuring smooth daily operations and advancing the office’s mission.
- Front-Office & Guest Services: warmly greet and assist students, employees, and visitors.
- Event & Program Support: assist chaplains and student leaders with scheduling and logistics.
- Clerical & Record Management: maintain organized filing systems and process routine correspondence.
- Calendar & Scheduling: manage the department’s master calendar and chaplains’ appointment schedules.
- Fiscal Processing: initiate and monitor financial requests and maintain budget-tracking spreadsheets.
Qualifications:
- Bachelor's degree from a four-year college or university.
- Two years of related experience and/or training, with preference for collegiate leadership experience.
- Knowledge of Microsoft Office Suite, Google Workspace, and other software applications.
- Excellent organizational, communication, and interpersonal skills.
- Ability to work in a fast-paced environment and manage multiple priorities.
