Position Summary
We have an exciting opportunity to join our team as a Secretary I, FGP - Ortho Surgery - Great Neck. The successful candidate will perform a variety of front-end administrative tasks to support practice operations, including greeting patients, answering calls, scheduling patient appointments, and other duties as needed.
Job Responsibilities
- Greets patients professionally both in person and on the phone
- Answers patient questions and/or refers questions and issues to the appropriate contact
- Optimizes provider schedules and patient access by establishing and maintaining efficient scheduling templates
- Promotes a positive patient experience during all interactions (in person, by phone, or other media)
- Retrieves and updates patient records to ensure availability of treatment information
- Verifies insurance information and gathers information needed to schedule and bill for services
- Maintains office inventory and equipment by anticipating supply needs and expediting supply orders
- Performs other duties as needed
Administrative Responsibilities
- Greets patients and performs intake functions including registration, forms collection, updating information, and co-payment collection
- Monitors Department Appointment Report (DAR) for checkmate “kick-outs,” appointment notes, insurance flags, and patients needing further assistance
- Gathers patient demographic data and materials; obtains and verifies insurance information and eligibility
- Advises and collects patient and financial-related documents and policies (HIPAA, NOPP, MSPQ, ABN, Non-Participating, etc.) including obtaining signatures
- Enrolls patients above age 5 to Patient Secure and assists with palm scan/photo
- Promotes use of Check Mate kiosks and assists patients as needed
- Scans documents into Epic and ensures correct document placement and type
- Reports errors or issues with kiosks or devices to management for resolution
- Monitors waiting areas for wait times
- Performs check-out functions, provides after-visit summaries, schedules follow-ups, procedures, referrals, and collects time-of-service payments; promotes MyChart
- Answers phone calls and requests professionally; schedules routine appointments and follow-ups
- Verifies or edits demographic information on subsequent visits; collects missing information as needed
- Addresses patient questions, referring to senior staff or billing when necessary
- Handles inquiries with professionalism and screens/redirects calls
- Releases medical records per HIPAA and ROI guidelines; documents disclosures in EPIC and fulfills requests within 10 days
- Maintains patient privacy per HIPAA standards
Patient Experience and Access
- Acts as NYU Langone Health Faculty Group Practice Brand Ambassador, upholding mission and values and promoting patient experience
- Demonstrates CARES service principles (Connect, Align, Respond, Ensure, Sign-Off) in patient and colleague encounters
- Greets patients warmly, clearly communicates steps of the care/interaction
- Collaborates with colleagues and site management to ensure positive experiences and timely resolutions
- Anticipates patient needs and participates in service recovery using the LEARN model
- Suggests ideas to improve patient experience and access; supports collaboration with Access Center and Central Billing Office
- Ensures staff are familiar with Access Agreement principles
Minimum Qualifications
High School Diploma required. Excellent organizational, interpersonal, verbal and written communication skills, and strong customer service orientation. Basic knowledge of word processing, spreadsheets, databases, and Internet applications. Light, accurate keyboarding skills. Ability to multi-task and thrive in a team environment focused on patient care.
Preferred Qualifications
Intermediate knowledge of computer-based scheduling and appointment programs preferred.
Salary and Benefits
We offer a comprehensive benefits and wellness package. Salary range listed: $27.78 - $51,206.48 annually. Actual salary depends on experience, education, and hospital need. This range does not include bonuses, differential pay, or other forms of compensation.
