Who We Are Seeking:

At Spectro Cloud, we are looking for an Office Manager / Administrative Assistant to provide high-level administrative support to the executive team and ensure the smooth day-to-day operations of the office. This role requires a highly organized, proactive, and resourceful professional who can multitask efficiently, handle confidential information with discretion, and foster a productive work environment.

In-office presence 3 days per week is mandatory. Our offices are near the San Jose, CA airport.

What You Will Do:

As the first point of contact for visitors to our HQ in San Jose, you will represent the Spectro Cloud brand effectively and appropriately. Your responsibilities include:

Office Management Duties:

  • Oversee daily office operations, ensuring a well-organized and efficient, fun, and welcoming environment.
  • Manage office supplies, equipment, and facility maintenance.
  • Manage weekly food orders, caterers, vendors, and keep the office kitchen stocked.
  • Manage and enforce office policies and procedures.
  • Plan and execute team-building activities, meetings, and local office events.
  • Handle vendor relationships, contracts, and office budget management.
  • Ensure compliance with health and safety regulations.

Administrative Duties:

  • Provide administrative support to the executive team (CEO, CTO, VP Engineering, CRO/CMO, CFO), mainly travel arrangements and expense reporting.
  • Coordinate and organize events and meetings.
  • Handle confidential documents and ensure information security.
  • Assist with special projects, research, and strategic initiatives.
  • Liaise with key stakeholders, including clients, vendors, and board members and their staff as necessary.

What You’ll Need to Be Successful:

  • Bachelor’s degree preferred.
  • 3+ years in an Administrative Assistant, Office Manager, or similar role.
  • Exceptional organizational and multitasking abilities.
  • Strong verbal and written communication skills.
  • High level of discretion, professionalism, and confidentiality.
  • Proficiency in Microsoft Office/Google Suite (Word, Excel, PowerPoint, Sheets, Slides, etc.) and other office management tools.
  • Ability to work independently and take initiative.
  • Strong problem-solving and decision-making skills.
  • Experience managing office operations, vendors, and event planning.

Additional:

  • OTE (Salary + Bonus) range: $135k-$155K DOE
