Legal Office Services Assistant

San Francisco, CA (onsite) 3 Months Contract

Overview

Client is seeking a Reception & Hospitality Assistant to support front desk operations and provide administrative and hospitality services within a legal office. This dual-role position includes greeting guests, managing phones, scheduling meetings, maintaining common areas, and supporting legal staff. Temp-to-engage opportunity with potential for conversion after 2–3 months.

Responsibilities

  • Greet and assist all visitors, guests, and employees with professionalism

  • Answer and route incoming calls per firm phone etiquette

  • Schedule and prepare meeting rooms (supplies, video conferencing, catering, etc.)

  • Assist with food/beverage setup, conference room cleanup, and kitchen/pantry stocking

  • Maintain appearance and cleanliness of the lobby and reception areas

  • Perform light clerical duties including document prep, file/calendar maintenance, and appointment scheduling

  • Prepare legal documents and correspondence as needed

  • Support attorneys, paralegals, and legal staff with administrative tasks

  • Track staff whereabouts for visitor and call management

  • Maintain guest security procedures and assist with visitor badges/property

  • Act as firm concierge (local area info, dining options, etc.)

  • Participate in firm/community events and initiatives

  • Order and organize office and kitchen supplies

  • Perform other duties as assigned

Requirements

  • High school diploma required; Associate or Bachelor’s degree preferred

  • 3+ years of relevant business experience, preferably in a legal office

  • Admin and switchboard experience strongly preferred

  • Proficient in MS Word and Excel

  • Strong customer service and communication skills

  • Detail-oriented and able to multitask in a fast-paced environment

  • Familiarity with office/technical equipment

  • Business casual attire required

  • Must be able to commute to 555 Mission Street, San Francisco, CA (no parking or reimbursement; public transport or paid parking options nearby)

  • No driving or COVID-related requirements

  • May involve walking to/from temporary space during renovations
