We are seeking an Office Manager to join the Coatings division and support the General Manager with accounting, human resources, and operations functions at the West Columbia, SC site.
Location: 1445 Old Dunbar Road, West Columbia, South Carolina 29172-1932
Essential Functions
- Prepares and reviews the financial activities of the site and communicates financial information to the General Manager and Coatings Division Accounting personnel.
- Ensures timely and accurate preparation of financial records and reports in compliance with GAAP, governmental regulations, taxing authorities, and company policies.
- Performs credit checks, approves credit, monitors credit status for new and existing customers, and manages accounts receivable activities. Escalates as needed and assists with collections and joint check agreements.
- Processes customer invoices, follows up on discrepancies, issues credit memos, and involves the General Manager as needed.
- Performs purchasing and general clerical work; maintains effective communication with customers, vendors, and employees.
- Ensures quality and accuracy of outputs in the Accounting area and assists with tax identification and regulatory compliance; supports the General Manager in achieving operational and financial objectives.
- Assists with employee benefits enrollments and compliance-related HR activities, including FMLA/STD processes and return-to-work documentation.
- Posts job openings to support Affirmative Action plans and maintains wage, hour, and regulatory posters up to date.
- Maintains accurate HRIS data for new hires, pay changes, terminations, and organizational changes; collaborates with Division HR and the HR Regional Manager.
- Assists with staffing processes including posting ads, screening applicants, interviewing, onboarding, E-Verify, training, performance management, and development planning.
- Gathers market salary data, reviews job descriptions with incumbents, and supports merit and compensation reviews; communicates discrepancies to Operations Management and the General Manager.
- Works with the HR Manager on appropriate disciplinary actions and the employee relations process.
Required Qualifications
- Preferred Bachelor’s degree in a relevant field or Associate’s degree with 3+ years of experience, or 5+ years of relevant experience.
- Good working knowledge of GAAP and HR regulatory compliance.
- Effective communication and interpersonal skills.
- Basic understanding of accounting for invoicing and proficiency with Microsoft Office Suite.
- Knowledge of HR functions (Recruiting, Compensation, Benefits, Employee Relations, Regulatory Compliance, Performance Management).
- Approximately 5% travel.
Highly Qualified Candidates Will Also Possess
- HRIS or accounting software experience; safety compliance knowledge.
- Effective training capabilities and ability to handle confidential information.
- Valid driver’s license and ability to drive an automatic transmission vehicle.
Working Environment
Office setting with fast-paced and demanding conditions. Minimal travel required. Responsibilities include data entry into HRIS, time tracking, payroll inputs, and handling physical files and computer equipment.
