Airport Location: Corporate Human Resources Advertised Compensation: $25.24 to $27.98
Purpose: The Receptionist/Administrative Assistant serves as the first point of contact for visitors and incoming phone calls at the North America Support Center. This role manages front-desk operations, coordinates visitor services, and assists with People & Culture operations to ensure smooth exceptional customer service.
Essential Functions: • Serves visitors by greeting, welcoming, and directing them appropriately while informing visitors by answering or referring inquiries as needed • Maintains security by following established procedures, monitoring visitor logbook, and issuing visitor badges to ensure safe and secure facility access • Operates telecommunication system by answering incoming phone calls in a friendly and professional manner • Coordinates online conference room scheduling and arranges facilitation before and after conferences and meetings including room setup coordination • Assists with maintaining engagement center and common areas to ensure professional office environment standards • Provides administrative support to People & Culture operations team including data entry, document preparation, file room maintenance, events coordination, and projects as assigned • Provides backup support to Executive Assistants as needed including T&E reports completion and administrative tasks
Reporting Relationship & Role Information: • The Receptionist/Administrative Assistant reports to the Senior Manager of Facilities • This is a non-exempt position under the Fair Labor Standards Act
Minimum Qualifications, Knowledge, Skills, and Work Environment: • Education and Experience:
o High School diploma or GED equivalent required
o 2-3 years of previous receptionist/administrative assistant experience in a corporate environment
o Strong customer service experience with emphasis on professional front-desk or visitor services preferred • Specialized Skillset/Competencies/Traits:
o Strong proficiency with Microsoft Office including Word, Outlook, Excel, and PowerPoint
o Excellent verbal and written communication skills with strong interpersonal abilities to create pleasant experiences for all visitors
o Good time management skills to prioritize, multitask, and manage competing priorities while completing a variety of tasks throughout the day
o Strong patience and listening skills to respond appropriately and interact positively with diverse visitors and callers
o Ability to exhibit a high-level of professionalism and maintain confidentiality at all times when handling sensitive information
o Strong administrative and organizational skills to keep accurate records and find important information quickly
o Ability to remain personable and attentive while providing exceptional customer service in a fast-paced environment • Location: This position requires 5 days per week in-office attendance at the North America Support Center in Bethesda, MD
