Overview
We are seeking a highly organized, proactive, and resourceful Office Manager to oversee the daily operations of our Boston office. This individual will play a key role in ensuring the office runs smoothly, supporting both corporate and property management teams, and fostering a professional, efficient, and collaborative work environment. The ideal candidate thrives in a fast-paced commercial real estate environment and can balance administrative, operational, and people-focused responsibilities. The role requires in office presence five days per week and the ability to deal with time sensitive issues in a timely and effective manner, while helping to streamline and make office operations more efficient. Attention to detail and organization are critical for success in this position. Responsibilities
Office Operations & Administration: Manage day-to-day office operations, including supplies, equipment, vendor management, and facilities maintenance. Serve as the primary liaison with building management, IT providers, and office service vendors as needed. Track software licenses, professional memberships and other pertinent information. Ensure compliance with company policies, health & safety requirements, and best practices. Coordinate office moves, space planning, and seating arrangements. Executive & Team Support: Support Bulfinch’s commitment to technology (Yardi, Sharepoint, Salesforce, Paychex, etc.). Maintain company contacts in Salesforce CRM (all stakeholders: clients, tenants, lenders, investors, vendors and brokers). Assist with preparation of letters, leasing proposals, presentations, reports, employee communications, benefits administration and meeting materials for leadership and project teams. Coordinate food and beverage ordering for office meetings and company events. Financial & Reporting Support: Manage office-related budgets, vendor contracts, and invoice processing. Track and report on office expenses, subscriptions, and vendor agreements. Support accounting team with various administrative tasks. Culture & Employee Engagement: Plan and coordinate office events, meetings, and team-building activities. Assist with internal communications (intranet updates, newsletter, etc.). Act as a cultural ambassador by fostering a positive, professional, and inclusive office environment. Serve as the point person for employee inquiries, ensuring strong internal communication. Human Resources: Assist with the administrative aspect of recruiting and onboarding processes, coordinating university hiring, scheduling interviews and welcoming new hires. Support new employee orientation and onboarding process. Work with broker and HR annually on benefits offerings and send communications throughout the year related to benefits administration. Manage vendor contracts and relationships. Track and manage all employee personal time off, ensuring proper coverage is upheld. Job Details
