Overview

Administrator, Department of Medicine, Division of Metabolism, Endocrinology and Nutrition at University of Washington. The Division seeks a Program Operations Specialist to oversee research and administrative operations for the NIH-funded P30 Nutrition Obesity Research Center (NORC) and manage pre- and post-award activities for research grants and clinical studies within the Division of Metabolism, Endocrinology and Nutrition. This position reports to the Manager of the University of Washington Medicine Diabetes Institute and works closely with faculty and staff in NORC, UWMDI, the division, the Department of Medicine, School of Medicine and affiliate institutions to build and maintain effective working relationships and research processes essential to our mission. The role coordinates pre- and post-award activities, including proposal submission and award reporting in accordance with sponsor and University guidelines. It communicates compliance requirements, establishes deadlines and documentation needs, and provides ongoing financial or status updates to ensure timely reporting of deliverables. Position Complexities: The Program Operations Specialist (POS) manages NORC program operations and a portfolio of division research grants and clinical studies. The role requires independent work, initiative, prioritization, and the ability to handle a broad spectrum of work with specialized knowledge of research, education and program objectives to meet strategic goals and extramurally funded award aims. Position Dimensions and Impact to the University: As a world-renowned research institution, competent research administration is essential to ensure proposal and award management processes align with sponsor and University guidelines. This role provides research administration expertise and guidance to investigators and leadership. Duties and Responsibilities

Research Administration - pre-award operations (40%) Provide overall management of NORC and a research portfolio including established awards and new proposals; ensure grant commitments and contracts are fulfilled in a timely and accurate manner. Identify and resolve space and IT requirements; interpret and integrate institutional, federal, and sponsor guidelines, policies, and regulations as they apply to research administration operations. Offer counsel and mentoring to researchers and staff on these issues; collaborate on budget development with Investigators and collaborators; act as liaison with division, department and school administrators on submissions. Critically assess budgets for accuracy and compliance; lead and coordinate efforts to ensure timely proposal submission, award processing, reporting, accounting for revenue and expenditures, subcontract and consortium management, and strategic goals. Provide strategic, intellectual and technical guidance to faculty and staff on research revenue cycle policies, compliance and regulatory matters; develop ad hoc reports for program and division leadership; support strategic planning for short- and long-term goals; maintain internal controls and respond to audits. Identify system gaps and bottlenecks to streamline program processes and initiate corrective actions; contribute to research program initiatives with technical and systematic guidance. Research Administration - post-award operations/grants (30%) Ensure grant commitments and contracts are fulfilled in a timely and accurate manner; promote compliance and risk management across operations. Approve expenditures within scope, produce reports, and collaborate with researchers and division management to ensure compliance with proposal activities. Create tools and metrics to track and analyze process improvements; ensure program benchmarks are met and continually evaluated. Post-award activities include budget reviews, monthly financial reporting to investigators and leadership, compliance checks, no-cost extensions, and accurate delegation of signatures. Coordinate with division, department or school administration to allocate payroll, review funding allocations, and develop corrective strategies; design and develop financial analyses and monthly/ad hoc reports including forecasts. Financial and Programmatic Support for UWMDI/CRU (30%) Collaborate with UWMDI Manager to support financial operations of UWMDI and CRU; analyze and reconcile federal, private, and industry budgets. Manage CRU operations and Recharge Center budget; forecast expenditures and communicate financial status to leadership. Process expense transfers and ensure timely allocations; manage purchasing via Workday including RSAs; ensure adherence to university policies and sponsor regulations on overhead. Develop, compile, and disseminate reports; ensure accurate reconciliation of research and operations accounts per University guidelines. Lead Responsibilities:

Provide input and expert guidance to NORC Director, Division Head, Division Administrator, Manager of the UWMDI, Center Directors, and Principal Investigators; collaborate with central division administrative and research administration/fiscal staff and oversee workload allocation as needed.
