Executive Assistant
Candidates must be local to St. Louis, MO
Job Summary: The purpose of the Executive Assistant role is to provide administrative and financial support to a senior executive. This position requires a highly organized and detail-oriented individual who can manage sensitive information with discretion and maintain accuracy in both administrative and financial responsibilities.
Job Responsibilities:
- Keep financial records organized, accurate, and up to date
- Ensure bills are paid and receivables are processed on time
- Reconcile accounts and track expenses
- Prepare and submit reimbursement requests as needed
- Reconcile and report discrepancies or issues found in financial records
- Maintain records of financial transactions by establishing accounts and posting transactions; ensure compliance with legal requirements
- Respond to emails and other digital correspondence in a timely and professional manner
- Screen telephone calls, receive and relay messages as needed
- Open, catalog, copy, and distribute incoming mail and other communications promptly
- Maintain the personal and professional schedule for the executive
- Handle sensitive information with a high level of discretion and confidentiality
- Ensure compliance with privacy policies and applicable regulations
Qualifications:
- Minimum 3–5 years of bookkeeping experience (QuickBooks preferred)
- 5–7 years of administrative assistant experience
- Proficient in Microsoft Office, specifically Word, Excel, Outlook, and Access
- Proficiency in accounting software
- Excellent written and verbal communication skills
- Strong organizational and time management abilities
- Associate of Applied Science degree in Legal Studies, Business Administration, or a related field preferred
