Executive Assistant

Candidates must be local to St. Louis, MO

Job Summary: The purpose of the Executive Assistant role is to provide administrative and financial support to a senior executive. This position requires a highly organized and detail-oriented individual who can manage sensitive information with discretion and maintain accuracy in both administrative and financial responsibilities.

Job Responsibilities:

  • Keep financial records organized, accurate, and up to date
  • Ensure bills are paid and receivables are processed on time
  • Reconcile accounts and track expenses
  • Prepare and submit reimbursement requests as needed
  • Reconcile and report discrepancies or issues found in financial records
  • Maintain records of financial transactions by establishing accounts and posting transactions; ensure compliance with legal requirements
  • Respond to emails and other digital correspondence in a timely and professional manner
  • Screen telephone calls, receive and relay messages as needed
  • Open, catalog, copy, and distribute incoming mail and other communications promptly
  • Maintain the personal and professional schedule for the executive
  • Handle sensitive information with a high level of discretion and confidentiality
  • Ensure compliance with privacy policies and applicable regulations

Qualifications:

  • Minimum 3–5 years of bookkeeping experience (QuickBooks preferred)
  • 5–7 years of administrative assistant experience
  • Proficient in Microsoft Office, specifically Word, Excel, Outlook, and Access
  • Proficiency in accounting software
  • Excellent written and verbal communication skills
  • Strong organizational and time management abilities
  • Associate of Applied Science degree in Legal Studies, Business Administration, or a related field preferred
