Overview
Position Information for the Senior Associate Director for Student Centers, Conference and Event Planning. This full‑time, non‑faculty role is located in Greenville and reports to the Director of Student Centers. The position oversees the Central Reservations Office (CRO) and provides strategic direction for planning, implementing, and coordinating on‑site management of more than 20,000 complex meetings and conferences on Main Campus and Health Sciences Campus.
Responsibilities
Supervision & Administration (40%)
Manage the Central Reservations Office (CRO), which includes the main CRO office, Event Assistance (set up/break down), and Production Services (technology) on two campuses.
Directly supervise three CRO staff members (2 Assistant Directors, 1 Lead Production Services Technician) and oversee two Event Coordinators, one Production Services Technician lead, two Production Services staff, and over 150 student workers.
Approve reservations for events and meetings in facilities managed by Student Involvement and Leadership, including Main Campus Student Center, Hendrix Theatre, Wright Auditorium, College Hill Field, Brickyard, Brody School of Medicine, Health Sciences Student Center, East Carolina Heart Institute, Laupus Lake, Rivers Plaza, the Designated Public Forum, all outdoor locations, academic buildings on Main Campus, and indoor spaces for Campus Recreation and Wellness.
Manage event logistics (setups/breakdowns, A/V, custodial, staffing) and work with campus resource partners; coordinate work orders, campus security when needed, provide information to the One Card office for building access, and ensure safety and ADA compliance in collaboration with EH&S, Facilities, and DSS.
Prepare regular reports (annual, fiscal, usage) for the Director of Student Centers and Associate Vice Chancellor for Student Life.
Review all contracts for space rental and other charges; set and achieve monetary goals for CRO, including revenue from facility rentals and outdoor venues.
Lead weekly logistics meetings with Conference and Event Planning staff, operations staff, technical services staff, and custodial staff; chair the Central Reservations Advisory Board to inform stakeholders of policy updates.
Relationships & Collaboration (15%)
Provide support to other space schedulers regarding university event policies and procedures.
Collaborate with campus Resource Partners to improve efficiency of campus resources in coordination with Facilities.
Coordinate with Registrar’s Office to ensure appropriate space utilization procedures for non‑academic events in academic spaces.
Lead training for campus departments and resource partners on space management workflows and event software communication.
Customer Service & Event Planning (20%)
Provide event planning assistance to student organizations, campus departments, and external clients through the CRO staff.
Serve as primary contact for Executive Administration events (Student Life offices, Chancellor’s Special Events Office, Student Affairs Administration).
Provide on‑site supervision for large events in Student Life managed facilities.
Advise administration in planning, directing, and reporting program activity; develop and implement CRO procedures.
Serve as point of contact for CRO reservations and lead event planning coordination in systems such as 25Live, Allseated, and 7Points; oversee CRO events in these applications.
Other Duties (25%)
Interpret and apply administrative policies and recommend changes as needed for university space utilization.
Assessment & Continuous Improvement
Conduct assessment projects related to customer satisfaction, facility usage, technical needs, and event setup accuracy.
Budget
Manage finances for an organization funded by student fees, including income generation components.
Prepare operating budgets and project/capital expense requests; contribute to budgetary planning and forecasting.
Provide expertise at the intersection of financial matters with reservations and set long‑range financial objectives to meet strategic goals.
Other Responsibilities
Attend departmental meetings, represent the department at professional conferences (ACUI, ACCED-I, NASPA, and others), and participate in division or campus committees.
Attend monthly Space Planning meetings and serve on search committees as needed.
Minimum Education/Experience
Master’s degree required
Minimum of three years of successful experience in conference or event planning
License or Certification None
Preferred Experience, Skills, Training/Education
Demonstrated experience in contract negotiation and review; budget development and management; event planning and on‑site coordination.
Excellent interpersonal, written, and verbal communication and public relations skills, including computer competencies.
Ability to foster and develop working relationships with students, faculty/staff, ECU community, and external partners.
