The Division of Student Affairs comprises over 30 departments, with more than 300 full-time employees and over 1200 student workers, offering student support, services, and educational programs to the university community. The division aims to foster student development, engagement, belonging, well-being, and career readiness, while upholding values of safety, inclusion, dignity, civility, rights, and open communication. Job Duties and Responsibilities

Supervision & Administration (40%)

Manage the Central Reservations Office (CRO) across two campuses, including main CRO office, Event Assistance, and Production Services. Oversee two Assistant Directors, two Event Coordinators, one Lead Production Services Technician, two Production Services staff, and over 150 student workers. Approve reservations for events and meetings in facilities managed by Student Involvement and Leadership, and oversee event logistics (setup/breakdown, A/V, custodial, staffing) in collaboration with campus partners. Direct supervision of CRO staff and regular reporting to the Director of Student Centers and Associate Vice Chancellor for Student Life. Review contracts for space rental and other charges; manage monetary goals for CRO, including revenue generation from rentals and outdoor venues. Conduct weekly logistics meetings and chair the Central Reservations Advisory Board.

Relationships & Collaboration (15%)

Provide support to campus space schedulers on event policies and procedures. Work with campus Resource Partners and Facilities to improve resource efficiency and space utilization. Collaborate with Registrar’s Office on space utilization for non-academic events; train campus departments on space management software.

Customer Service & Event Planning (20%)

Provide event planning assistance to student organizations, campus departments, and external clients. Serve as primary contact for Executive Administration events and supervise on-site large-scale events. Develop and implement CRO procedures; coordinate event planning in systems such as 25Live, Allseated, and 7Points.

Other Duties (25%)

Apply administrative policies related to space utilization and recommend policy changes as needed.

Assessment & Continuous Improvement

Lead assessment projects related to customer satisfaction, facility usage, and event setup.

Budget

Oversee fiscal management for a student-fee funded organization; develop operating budgets and requests for project/capital expenses; align financial planning with reservations.

Other Responsibilities

Attend departmental meetings; represent the department at professional conferences; participate in campus committees and space planning meetings.

Qualifications

Minimum Education/Experience:

Master’s degree required; minimum of three years of successful experience in conference or event planning. Preferred Experience, Skills, Training/Education:

Contract negotiation and review; budget development and management; event planning and on-site coordination; excellent interpersonal, written, and verbal communication skills; ability to foster relationships with students, faculty, staff, and external partners. How to Apply
