Payroll Specialist/HR Generalist

Overview
Payroll Specialist/HR Generalist to join our team in Fullerton. This role will focus primarily on payroll (about 60–70%) with additional responsibilities in HR (30–40%). It’s an excellent opportunity for someone who wants to grow in both areas, with mentorship and support toward obtaining a PHR certification.
Key Responsibilities Payroll (Primary Focus)
Process weekly payroll and ensure compliance with recordkeeping requirements.
Manage pay increases, 401k changes, garnishments, and support notices.
Handle verifications of employment, unemployment audits, and state requests.
Complete disability and family leave forms.
Maintain year-end benefit deduction uploads and payroll updates.
Support payroll automation initiatives.
Onboarding & Employee Support
Prepare offer letters and conduct new hire orientations.
Maintain personnel files (electronic and paper).
Ensure I-9 compliance and enter employee data into payroll/benefits systems.
Coordinate occasional travel for new hires.
Manage DMV pull notice program and insurance broker communications.
Support terminations and maintain certifications.
Benefits Administration
Assist with open enrollment and renewal discussions.
Audit invoices, resolve claims, and ensure ACA compliance.
Communicate benefits to employees and support enrollment.
Administer leave of absence, COBRA, and disability processes.
Additional Duties
Participate in safety and claims management meetings.
Enforce policies and respond to employee inquiries.
Support 401k transactions (loans, withdrawals, terminations).
Assist with final paychecks and exit interviews when needed.
Maintain and update HR SOPs.
Requirements
2+ years of experience in payroll and/or HR administration (ADP Workforce Now strongly preferred).
Solid knowledge of federal and state employment laws and payroll compliance.
Strong attention to detail, organizational skills, and problem-solving ability.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Ability to maintain confidentiality and handle sensitive information.
Strong interpersonal and communication skills across all levels of the organization.
Interest in pursuing (or currently working toward) a PHR certification — training and support provided.
Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual’s skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. With that said, as required by local law in geographies that require salary range disclosure, Vaco/Highspring notes the salary range for the role is noted in this job posting. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company’s 401(k) retirement plan.
