Strategic Executive Assistant to CEO at Scaling AI Infrastructure Startup

Overview
Series B AI infrastructure startup is looking for an Executive Assistant to support their CEO. This is an incredible opportunity to join a rapidly scaling team that has more than doubled from 30 to 70+ in just months, with plans to reach 100 by EOY. In this high-impact role, you'll be a strategic right hand to a visionary Founder who has never had EA support before — bringing structure and leverage to optimize their time through calendar management, meeting preparation, travel coordination, and cross-functional liaison work. You'll also provide light scheduling support to the Co-Founder/CTO when needed. Someone adaptable enough to give the CEO creative space while keeping them strategically focused, with exceptional EQ to read the room and anticipate needs. Previous experience supporting senior executives or founders in startup environments is desired. This role will be hybrid, 2-3 days/week in-office once their SF office opens (anticipated by EOY). 120-160K+ DOE + equity, fully covered benefits, 401k, and flexible PTO.
Responsibilities
Own the CEO's calendar across both business and personal commitments, constantly balancing priorities and immediate needs with longer-term strategic goals.
Schedule and manage meetings and calls with important customers, partners, and investors, often serving as the CEO's first point of contact.
Prepare briefing materials and ensure they're accessible before meetings.
Maintain relationship notes, track stakeholder preferences, and manage appropriate follow-up.
Track action items from various touchpoints and drive timely follow-through on commitments.
Partner with the leadership team to synchronize calendars, establish meeting rhythms, streamline logistics, and coordinate major events such as off-sites and board meetings.
Arrange all travel logistics for domestic and international trips, creating detailed itineraries with real-time updates as needed.
Handle sensitive company and personal matters with complete confidentiality and sound judgment.
Proactively identify and eliminate bottlenecks, implementing processes where needed.
Work cross-functionally across the leadership team to share updates and communications effectively.
Ad hoc projects, including communications, presentation development, or other strategic initiatives.
Qualifications
5+ years of experience as an Executive Assistant, supporting senior executives or founders in dynamic, fast-moving environments.
Startup or high-growth company experience, particularly in venture-backed environments, is preferred.
Exceptional organizational skills with the ability to juggle multiple priorities while maintaining meticulous attention to detail.
Strong communicator across all formats—written, verbal, and interpersonal.
Absolute discretion when handling confidential information.
Ability to intuitively shift gears quickly as priorities change.
Excellent follow-through. Ability to keep the pieces moving and not let anything fall through the cracks, and a natural ability to anticipate needs and take initiative without prompting.
Tech-savvy with Google Workspace, Slack, Notion, Zoom, Superhuman, and calendar management platforms.
