Job Responsibilities
In our Roseland, NJ office, we offer a full-time in-house position for an experienced Float Legal Secretary. The role requires interim coverage and assignments across various areas of law, with the ability to integrate across practice groups. Candidates should be self-starters with strong organizational and document management skills, and the ability to manage multiple priorities. A friendly disposition and flexibility to adapt secretarial techniques from day to day are important. Prior experience in a float capacity is preferred, ideally 3+ years at a busy law firm that specializes in Family Law and general Litigation.
Position Requirements and Essential Duties & Responsibilities:
To assist our family law practice, you must be proficient in trial preparation and litigation. The ideal candidate will have excellent organizational, grammatical, and interpersonal skills, and the ability to manage a large workload with dictation in a high-volume, fast-paced office.
- Perform general administration and secretarial tasks such as typing and proofreading documents, maintaining files, and answering phones.
- Assist with call screening and directing.
- Assist with the intake process for potential clients.
- Create, organize, and maintain hardcopy and electronic client files.
- Enter time entries of client work.
- Serve as liaison between busy attorneys and clients, court staff, attorneys, prospective clients, and other professionals through heavy electronic correspondence.
- Communicate effectively with clients, adversaries, and Courts; handle high-volume work and dictation in a fast-paced atmosphere.
- Assist with drafting, editing, collating, and finalizing correspondence, pleadings, motions, case information statements, and appellate applications.
- Assist with gathering, organizing, compiling, and indexing documents from clients, financial organizations, and businesses; propounding discovery demands and subpoenas on adversaries and relevant third parties.
- Keep track of attorneys\' calendars and deadlines for motion practice, pleadings, discovery, depositions, and related timelines.
- Submit documents to the Court on paper and via JEDS or Appellate eCourts.
- Contribute to the team by diligently completing assigned tasks, duties, and projects.
- Assist with other administrative duties as assigned.
Education & Experience
- HS or GED equivalent required.
- 3+ years working in a busy New Jersey law firm.
- Knowledge of the NJ Civil Court System.
- Experience with the Child Support Guideline program.
- Proficient in Office 365 software, iManage, and state/federal e-filing.
Compensation and Schedule
The annual compensation range is $60,000 to $67,000. Actual pay will be determined by education, certifications, experience, and other job-related considerations permitted by law. This is a full-time position with a Monday–Friday schedule, 9:00 a.m. to 5:00 p.m., with flexibility for overtime as needed. Standard background screening is required before an offer of employment.
