General Description :

The Grants Accountant is responsible for advanced accounting tasks including journal entries, account reconciliations, and preparing reports. They are responsible for funds management of restricted, auxiliary, scholarship, and agency funds. This position works with grant administrators to coordinate budgets and interacts with federal, state, and private agencies relating to grant activity. They are also responsible for ensuring financial records are in compliance with policies and regulations of the college and grant awards. Work is performed under the general direction of the Administrative Dean, Financial and IT Operations.

Examples of Duties Essential Job Duties :

Responsible for the review and approval of all requisitions to ensure funds availability, accuracy and compliance for grants and student activities in restricted (2) funds, all auxiliary funds (3), all scholarship (5) funds, and federal loans, Florida Keys Educational Foundation (FKEF), and club activities in the agency (6) fund. All grants inclusive of federal, state, and private grants.

Responsible for monthly and year-end general ledger closings and maintains all detailed assets and liabilities documentation related to funds managed.

Prepares annual Schedule of Expenditures of Federal Awards (SEFA).

Prepares monthly invoice and supporting documentation for FKEF. Responsible for ensuring collection of receivables.

Responsible for monthly, quarterly, and annual reporting of grant and contract activity in accordance with requirements set forth in the agreements.

Responsible for balancing of financial transactions to ensure accuracy and compliance with grant stipulations or other regulations.

Monitors cash balances on federal, state, and private grants and requests drawdowns as needed.

Monitors expenditures for compliance with accounting standard and College policies.

Prepare monthly reconciliation of federal and state cash including, but not limited to; Pell, Stafford Loans, SEOG, FWSP, FWEP, FSAG, Bright Futures and CDDV.

Reviews and approves travel reconciliations related to grant activities.

Assists the Administrative Dean, Financial and IT Operations with financial analysis and completion of various reporting requirements as needed.

Works with various external auditors and prepares worksheets and responses as requested by auditors.

Member of the QEP Advisory Committee and attend tri-annual Title II status meetings.

Key member of monthly and annual accounting close process. Prepares monthly operational journal entries including indirect cost and revenue for grants, financial aid and FKEF.

Assists in all College recruitment and retention efforts as appropriate.

Required to attend Graduation/Commencement ceremonies.

Additional duties as assigned.

Qualifications Knowledge, Abilities, and Skills:

Knowledge of government accounting, auditing, and expenditure control.

Knowledge of accounting systems and procedures.

Knowledge of applicable laws and procedures in the receipt, custody and expenditure of monies.

Ability to plan, organize and supervise the work of professional and paraprofessional accounting personnel.

Ability to prepare financial and statistical reports.

Ability to work independently with minimum supervision.

Ability to establish and maintain effective working relationships with students, staff and the public.

Ability to communicate both verbally and in writing.

Skill with a PC computer and software, especially in Microsoft Office.

Ability to perform basic math calculations.

Education and Qualifications:

Graduation from an accredited two-year college or university with an Associate's Degree in a related field, required. Bachelor's degree preferred.

Three (3) years accounting experience or bookkeeping experience.

(A comparable amount of training, education, or experience can be substituted for the minimum qualifications.)

Ability to sit at a desk and view a computer screen for extended periods of time.

Available plans include a traditional PPO and a High-Deductible PPO attached to a Health Savings Account.

The College provides each employee with term life insurance payable to a beneficiary at the rate of one times (1x) the employee's annual salary rounded up to the next thousand up to a maximum of $50,000. FLORIDA RETIREMENT SYSTEM:

Full-time and regular part-time employees participate in the Florida Retirement System (FRS). The College contributes the current retirement percentage of the individual's salary, and the employee would contribute the current retirement percentage based on their salary. Employees may choose the Pension Plan or the Investment Plan.

PAID TUITION:

Tuition fees for credit courses taken at the College are waived for employees and their eligible dependents, including domestic partners. Tuition and student fees are waived for non-credit physical education courses. Contingent upon approval, $1,000 reimbursement is available each fiscal year through Staff & Program Development (S&PD), for completion of course work toward a degree which results in demonstrated benefit to the College.
