Job Title Legal Administrative Assistant

Supervisor / Manager Supervisor: Attorney(s); Manager: Office Managing Partner
Summary Provides support to the attorneys and other legal professionals. Drafts and edits legal documents, manages email and physical correspondence, telephone communication, and client files. Arranges meetings, appointments, court dates and travel. Maintains a working knowledge of attorneys’ areas of practice, legal terminology, and efficiently files both physical and electronic copies of documents and emails with various government agencies and courts. Ensures the administrative responsibilities related to all cases that each of their attorneys are working on are managed efficiently allowing the attorneys to focus on their cases. Observes confidentiality and discretion related to client and firm matters. May perform a variety of other special projects as needed.
Essential Duties and Responsibilities
Prepare and edit legal documents and correspondence
Electronically file documents in state and federal courts
Maintain and organize physical and electronic case files using NetDocuments or similar document management system
Establish and maintain calendar appointments using Outlook or other similar calendar software
Effectively communicate with attorneys to maintain priorities, multitask and meet deadlines; keep attorneys informed of progress of assignments as necessary
Create new client matters (including conflicts) using Intapp and prepare necessary closing documents when a case has concluded
Arrange attorney travel
Prepare and submit attorney expense reports using Emburse Enterprise
Edit time entries in iTimekeep and work with attorneys and accounting department on billing and collections
Notarize documents as requested by attorneys
Coordinate copying and scanning projects
Interact professionally and cooperatively with attorneys, other legal administrative assistants, staff and clients
Work occasionally requires more than 37.5 hours per week to perform the essential duties of the position; may require irregular hours
This is a hybrid position. Working in the Zelle Minneapolis office is generally expected 2 to 3 days per week when onboarding, training, and/or supporting other LAAs and staff who are out of the office. At other times it may only require work in the office 1 to 2 days per week and would allow for working at home 3 to 4 days per week

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED
Three or more years of Legal Administrative Assistant experience
Proficient with Microsoft Office software products including Word, Excel, Outlook and PowerPoint
Proficient with state and federal court e-filing systems
Self-motivated with excellent problem-solving skills and ability to manage multiple priorities and meet deadlines
Must have exceptional organizational skills with excellent attention to detail and demonstrated ability to maintain high-quality and quantity work product
Interpersonal skills necessary to communicate effectively with a diverse group of colleagues and to provide information with professional courtesy and tact
Effective team member who displays initiative and acts with integrity
