Wiley Rein LLP is seeking a
Legal Administrative Assistant
to provide high level administrative and business development support to the firm’s attorneys. This position is eligible to participate in the firm’s flexible work program. Anticipated start date: January 2026.
Responsibilities/Essential Functions
Enters attorneys’ time daily, releases attorney time entries to Accounting on schedule, and maintains appropriate records
Promptly processes expenses, reimbursements, and vendor invoices
Supports monthly billing cycle, including reviewing and processing monthly client bills for assigned attorneys; follows up to ensure deadlines are met; tracks invoices, payments, and retainers; and coordinates between attorneys and the Accounting & Finance team
Prepares new business intake forms for new and existing clients, conflict sheets, and engagement letters; assists with resolution of questions that arise during the conflicts process
Coordinates conferences, meetings, and appointments, including catering and audio-visual equipment across internal and external participants, locations, and time zones
Proactively manages attorneys’ calendars and ensures preparation for all commitments
Proofreads and redlines work for copy accuracy, formatting, grammar, punctuation, and syntax
Creates shell documents in Word, including numbering, schemes, and styles through firm tools
Creates, converts, edits, and compares documents (letters, memoranda, pleadings, tables, spreadsheets, presentations) using office productivity software
Coordinates with firm departments and outside vendors to support efficient work and high client service
Maintains and updates client contacts and distribution lists in the firm’s client management system
Coordinates domestic and international travel arrangements with the firm’s travel agency, including itineraries and travel agendas
Coordinates with Marketing to assist with business development, research, and client service activities
Handles projects expeditiously and proactively, often with tight deadlines
Work Environment
An on-site presence is an essential function of this position. Remote work may be permitted in accordance with the firm’s flexible work policy and based on business needs
Office environment is professional and typically quiet to moderate
Position requires the ability to multi-task in a fast-paced environment
Physical Demands
Primarily sedentary; may require lifting files, reaching, bending, and moving between office equipment and filing cabinets
May require lifting items up to 10 pounds

Ability to multi-task, prioritize deadlines, and track progress

Proficiency with Outlook, Word, Excel, PowerPoint, Adobe Acrobat, law firm timekeeping/billing programs, and document management systems
Collaborative attitude and willingness to learn new methodologies
Flexibility to work overtime as needed
Education and Experience
High school diploma required; Bachelor’s degree preferred
Minimum of two (2) years of related experience
Prior experience in a law firm or professional services environment is preferred

Salary and Benefits The base salary for this position is $60,000 annually. Actual salary will be determined based on skills, experience and other job-related factors, consistent with applicable law.
