Coordinates and assists administrators with campus, intra-District, and special conferences, workshops, training, competitions, and events. Develops and maintains participant and subject matter information. Develops and distributes announcements, flyers, registration forms, and other materials that announce and publicize programs. Provides administrative assistance to program leaders. Distinguishing Career Features
The Special Events Coordinator provides logistics, administrative, and communications support for conferences, workshops, training, intra-District events, and competitions. Incumbents may provide pre-, during-, and post-event services and support, including program implementation for programs involving large numbers of people. Essential Duties and Responsibilities
Specific duties may vary, but typical duties include: Plan, coordinate, implement, and administer large-scale events (workshops, conferences, training, recruiting and alumni fairs, local and regional competitions). Develop and maintain participant lists; arrange sites, speakers, judges, panels; prepare program schedules; arrange media participation. Interface with campus and District Administrators to coordinate logistics and hospitality for activities, events, and training. Provide on-site event support; arrange multimedia, materials, supplies, and refreshments. In competitions, work with judges and event leaders to select events, criteria, formats, and participation rules. Prepare and maintain participant and venue lists; use databases for confirmation letters, invoices, and registrations. Support marketing with advertising materials; assist with design/layout of graphics for events. Design and arrange certificates and awards as appropriate. Draft correspondence and forms related to events and programs. Prepare fee and expense statements and monthly billing statements. Other related duties as assigned in support of the position’s objective. Abide by all District policies and procedures including Board Policy 3050 – Code of Professional Ethics. Knowledge and Skills
Knowledge of workshop and special event preparation, planning, and coordination from inception to evaluation. Ability to coordinate events for large groups and multi-day competitions. Knowledge of graphic arts and desktop publishing software for producing brochures, flyers, announcements, and catalogs. Working knowledge of spreadsheets, word processing, and related tools. Understanding of rules and regulations governing workshops, competitions, and events. Problem solving skills to develop action plans for assignments. Math skills to compute sums, percentages, fractions, etc. Proficiency in English usage, grammar, spelling, punctuation, and professional formatting. Strong human relations skills to facilitate small groups and coordinate work of others. Abilities
Perform the essential responsibilities and functions of the position. Work flexible hours, including evenings and weekends as assigned. Operate a PC, printers, and specialized software. Analyze technical problems and apply appropriate solutions. Convert objectives into sequenced tasks and action plans. Write professional correspondence; prioritize work to meet multiple deadlines. Collaborate effectively with internal and external teams focused on customer service. Physical Abilities

Education: An Associate’s degree with emphasis on event management, hospitality, or related discipline, and three years of experience coordinating and supporting conferences for large groups. Additional relevant experience may substitute for education; or any equivalent combination of education and experience. Demonstrated evidence of responsiveness to and understanding of diversity, equity, and inclusion in serving a diverse student population. Licenses and Certificates
Valid driver license. Working Conditions
Work is performed in an indoor environment with minimal health and safety concerns. Hours may include nights and weekends to meet department needs. Other Information
