$3,495 - $4,653 Monthly We're looking for an Administrative Assistant 1 to join our team and support the mission of the Department of Children, Youth and Families (DCYF) to protect children and strengthen families so they flourish. The Opportunity: As the Administrative Assistant 1 (AA1), you will be responsible for providing administrative support to the Licensing Division supervisors and staff in Region 1. Your Administrative support duties include, but are not limited to: Create and process applications, case files, and provider files for licensing programs. Process and monitor public disclosure requests. Type and edit correspondence. Update and maintain case management database systems Maintain various filing systems Process files for electronic imaging. More of what you'll get to do: Create maintain, and archive licensing files, facility complaint investigations, and investigative case files. Create pieces of work for assignments, complete data entry, and upload documents as needed. Create, maintain, and track written and electronic documents. Attend and take minutes for various regional or unit meetings. Create templates or forms to be used by staff. Copy, scan, and/or email documents for staff. Provide back-up for other clerical staff within all of the Licensing Division programs. Prepare closed records and archive records, according to the appropriate retention schedule. Process materials related to licensing applications, facility complaint investigations, and LD/CPS investigations. Log track, and gather data related to assignments, completions, and outcomes. Create provider and case files. Create electronic records and complete data entry into records. Mail necessary forms to applicants and agencies. Create various application packets. Required Qualifications: Equivalent education and experience totaling one (1) year of office/clerical, secretarial, bookkeeping, accounting, or general administrative work. In addition to those required qualifications, our ideal applicant will also have some or all of the following: Ability to work independently and prioritize work duties. Intermediate/advanced level of computer literacy in Microsoft Office. Ability to learn and effectively use other software or database programs. Communicate effectively verbally and in writing with customers, community partners, staff and public. Maintain confidentiality. Work in a high stress environment. Demonstrate strong organizational and time management skills. How do I apply?
