Job Description
REPORTS TO:

– President, Vice President, Controller;
Indirectly
– Operations Manager MISSION:
Manage activities, resources, and responsibilities of AR and AP in conformance with established policies, practices, and procedures. The ideal candidate is detail-oriented, computer savvy, and has a strong understanding of accounting, payments, and budgets. ESSENTIAL DUTIES:
QuickBooks: create invoices, apply payments, and perform reconciliation. Perform and manage daily operations of accounts payable, expense reimbursement, credit card monitoring, bank reconciliations, accounts receivable invoicing, cash receipts, and cash flow management. Ensure compliance with internal controls, company, customer, vendor requirements, and government regulations (e.g., W-9s for all subcontractors, Certificates of insurance: GL, auto, and worker’s comp, Conditional and Unconditional releases). Reconcile customer and vendor aging reports and coordinate audit requests. Prepare customer and vendor credit applications and access payment portals (e.g., Net accounts - Thompson, Sherwin Williams, Chevron). Ensure all signed subcontracts include the correct schedule of values. Review general contractor contracts for inclusions and exclusions, including endorsement requirements and scaffolding terms. Oversee month-end closing activities and reporting for AR and AP. Prepare weekly payment schedules and cash flow requirements. Perform other duties as needed. OTHER DUTIES AND RESPONSIBILITIES
Collaborate with other departments to handle account issues. Constant review of policies and procedures. Continuously monitor and improve Buildertrend and other technological practices. Qualifications:
Advanced knowledge of QuickBooks, Excel, and accounting software. Familiarity with Microsoft Word, Outlook, Teams, and PowerPoint. Strong understanding of accounting principles and best practices. Excellent problem-solving and research skills. Strong written and verbal communication skills. Commitment to accuracy and attention to detail.
