Located in Greater Boston, MassBay is a comprehensive, open-access community college, offering associate degrees and certificate programs on three campuses in Wellesley Hills, Framingham, and Ashland, Massachusetts. Position Summary: The ideal candidate will join a vibrant educational community, and have a desire and ability to serve a population of students with various needs and backgrounds. Reporting to the Associate Director of Admissions Operations, the Senior Technical Coordinator of Admissions Operations coordinates all operational, technology, and system administration aspects of the department's routine activities. This position provides assistance to all Admissions staff in learning and implementing standardized processes, coordinates with all recruitment staff, and collaborates with Marketing and IT Departments. This position is responsible for assisting in the design of and supervising the maintenance of the Customer Relationship Management (CRM) system and business process automation, documentation, and department-wide training on key application processing, student information, communication, data management and reporting tools. This is a mostly remote position but is required to be on campus for certain Open House, Training and Professional Development Day occasions. Key Responsibilities and Duties: Support the Associate Director of Admissions Operations in providing technical support and training for the Department. Captain the implementation of SLATE CRM, oversee and coordinate the daily maintenance and activities of the CRM including ongoing automation of the online admissions applications, other forms (such as selective admissions applications), event management and communication, integrity of data, and integration of data into PeopleSoft. Assist the Associate Director in meeting enrollment goals by reassessing workflow issues and continually developing innovative ways to engage and support prospective students and referral sources. Oversee operational functions of the PeopleSoft admissions module including data integrity, reporting, upgrade testing, training, workflows and any integration solutions needed. With the Associate Director and IT staff, streamline tasks, optimize efficiencies, identify, vet, and implement technology solutions to improve operations such as DocuWare and other technology platforms. Serve as liaison between the Admissions Office and the Office of Information Technology, representing Admissions in the monthly PeopleSoft User Group meetings and attending regional PeopleSoft conferences as possible. Research/investigate new technologies and recommend purchases. Support the Associate Director in coordinating operation, training, maintenance, purchase, and support of equipment, i.e., conduct training, workshops, and in-service for staff. Provide training/support. Test equipment and tools for system faults and eliminate problems; maintain the security of systems. Oversee equipment/licensing inventory and maintain inventory records with purchasing; coordinate the purchase of equipment; specify and prepare bids for new systems, software, and services. Implement new equipment and technology into the current structure of the department. Design and deliver training for admissions operations and customer service personnel, including identifying professional development opportunities. Coordinate and lead weekly CRM oversight meetings and hold individual meetings as needed. Work closely with the Associate Director to create communication flows for prospective students and with the Marketing Department to ensure timely execution of print and digital communications to inquiries, applicants, admits, and enrollees. Oversee all back-office aspects of event management (RSVPs, pre/post event pieces, print and electronic collateral updating). Assist in data-driven decisions by creating regular reports such as funnel reports and statistical evaluations as required to monitor enrollment goal progress. Maintain professional knowledge in applicable areas (i.e., maintain a working knowledge of assigned area, research new technologies, equipment, products, trends, and advances in the profession, read professional literature, attend workshops and training sessions). Minimum Qualifications: Master's degree in Education, Psychology, Counseling, Human Services, Liberal Arts, or closely related field; with three (3) years experience and/or training involving college admissions, transfer credit evaluation, or academic counseling/advisement; or an equivalent combination of education, training, and experience. The College will consider the following as an equivalent combination of education, training, and experience: Master's degree in Instructional Media/Technology, Instructional System Design, Instructional Technology, Computer Science, Liberal Arts, Education, or closely related field; with three (3) years experience and/or training that includes media production, instructional design, telecommunications, media education, and multimedia equipment operations; or an equivalent combination of education, training, and experience. Bachelor's degree in Instructional Media/Technology, Instructional System Design, Instructional Technology, Computer Science, Liberal Arts, Education, or closely related field; with five (5) years experience and/or training that includes media production, instructional design, telecommunications, media education, and multimedia equipment operations; or an equivalent combination of education, training, and experience. Associate's degree in Instructional Media/Technology, Instructional System Design, Instructional Technology, Computer Science, Liberal Arts, Education, or closely related field; with seven (7) years experience and/or training that includes media production, instructional design, telecommunications, media education, and multimedia equipment operations; or an equivalent combination of education, training, and experience. $82,787 - $94,048, in accordance with one's education and experience as dictated by the collective bargaining agreement/classification compensation structure.
