Overview

The Clinical Coordinator acts as a liaison between their assigned physician and patients/families, staff, primary care physicians and other specialists, attorneys, vendors, etc. This role ensures that physician schedules are in accordance with their protocols/needs and that the schedule provides for a smooth, effective delivery of patient care; coordinates incoming physician-related phone calls; and, as requested, assists the physician in the coordination of personal responsibilities to ensure the professional requirements of the physician’s workday are met. Physician Liaison Activities: respond to incoming calls and determine the best resolution path by routing to the appropriate respondent (physician, physician assistant, clinical/nursing staff, etc.). Channel requests to ensure resolution. Chart/Documentation Management: secure charts for diagnostic tests, physical/occupational therapy reports, discuss issues with physicians, relay physician information back to the patient/requestor, and complete chart notes as appropriate. Appointment Scheduling: register and assist in scheduling for new/established patients. Legal/Records Coordination: arrange for legal depositions and ensure all patient records are available prior to the deposition. Correspondence/Clerical Functions: prepare charts before clinic hours, obtain test results, dictation or other documentation as needed; send prescriptions for therapies and returns-to-work notes; compose non-patient visit letters; manage physician/department mail; provide updates to workers’ compensation carriers; process various forms (disability, school/physical excuse notes, etc.). Scheduling Support: prepare physicians on-call schedules and coordinate schedule changes. Records Release & Copy Management: secure appropriate releases, copies, and medical information for patient pick-up; coordinate with copy services for timely mailing of records. Credentialing & CME: maintain an orderly file on physician credentials and CME credits. Special Projects & Insurance Pre-Certifications: work on special projects; secure insurance pre-certifications as requested (MRI, PT, Synvisc, injections, surgery, etc.). Payment Handling: handle payments received for depositions, record subpoenas, etc., using Revenue Cycle forms and note receipt in the chart. Other Functions: perform additional duties as assigned. Qualifications

High school diploma or equivalent required. Pain management experience is a plus. Ability to type 40 wpm with good spelling; computer literate with knowledge of business software/equipment; basic medical terminology. Strong verbal and written English communication; excellent phone/people skills; ability to thrive in a fast-paced environment. Good sense of humor; helpful attitude. Valid Illinois Driver’s License. Physical Requirements/Work Environment

Work is primarily indoors; extended periods of sitting may be required. Ability to hear telephonic communication and speak English; repetitive hand movement for data entry. May require occasional outdoor travel by automobile. Compensation & Benefits

Base salary offers for this position may vary based on location, skills, and experience.
