This position acts as a liaison between the assigned physician and patients/families, staff, primary care physicians and other specialists, attorneys, vendors, and others. Ensures that physician schedules align with protocols/needs to support smooth patient care; coordinates physician-related phone calls; and, as requested, assists with coordinating personal responsibilities to meet the physician’s workday requirements. The successful candidate must be willing and able to travel between our north office locations. Essential Job Functions
Physician Liaison Activities Responds to incoming phone calls and determines the best method for resolution by identifying the most appropriate respondent (e.g., physician, administrative assistant, administration, clinical staff). Channels requests appropriately to ensure resolution. Scheduling surgeries for your physician and ensuring surgical cases proceed without issues. Maintains schedules/calendars for the doctor regarding clinics, surgeries, and on-call schedules. Appointment Scheduling Schedules pre-op and post-op appointments for surgical patients. Assist with dates and times for new patient appointments if Call Center staff are unable to find available spots. Arranges for legal depositions, ensuring patient records are available prior to the deposition and conference rooms or Zoom meetings are booked. Surgical Patient Activities Coordinates cardiac and medical clearance for patients prior to surgery. Completes appropriate forms for facilities (e.g., Salt Creek Surgery Center, Hinsdale or Good Samaritan Hospitals). Schedules surgical appointments and cases in the EMR system. Schedules pre- and post-op visits, including therapy if needed. Secures pre-certification for surgery and documents in the chart. Maintains and updates physician calendar regarding surgery. If a patient fails pre-op labs/EKG, assists in scheduling with the appropriate physician. Prepares surgical packets for scheduled surgeries. Notifies representatives regarding surgical equipment as necessary. Correspondence/Clerical Functions Sends orders for therapies, return-to-work notes, gym notes, etc., as requested. Opens and distributes physician’s/department mail. Assists with attending physician statements, handicap parking permits, jury duty requests, PE excuse notes, disability forms, etc. Prepares physician on-call schedules and coordinates schedule changes. Secures appropriate releases and copies medical information for patient pick-up; coordinates with copy service to ensure timely mailing of records. Forwards physician credentials and CME credits to credentialing department upon request. Other Functions Works on projects for physicians as requested. Orders physician meals and other miscellaneous items if requested. Handles payments received for depositions, record subpoenas, etc. Requirements Physical Requirements/Environment Work is primarily indoors. Extended periods of sitting may be required. Ability to hear telephonic communication and speak English is required. Repetitive hand movement for computer data entry. Occasional outdoor travel via automobile may be required. Educational/Training Requirements High school diploma or equivalent required. Able to type 40 wpm with good spelling. Computer literate and proficient in business software/equipment. Knowledgeable in basic medical terminology. Able to communicate in English (verbal and written). Excellent phone and people skills. Capable of thriving in a fast-paced work environment. Good sense of humor, helpful. Valid Illinois Driver’s License. Compensation and Benefits Base salary offers may vary based on location, skills, and experience.
