We are seeking a highly organized and proactive
Executive Assistant
to support our executive team. This role is critical to ensuring the smooth execution of executive-level operations, including meeting coordination, event planning, presentation development, project support, expense management, and other administrative tasks. The ideal candidate is detail-oriented, discreet, and able to manage multiple priorities in a fast-paced, dynamic environment. Responsibilities
Plan and organize meetings, events, and trade shows, including logistics, travel, and related arrangements. Create high-quality presentations and reports for internal and external meetings using PowerPoint, Excel, and other tools. Support special projects and initiatives, ensuring deadlines and deliverables are met. Handle sensitive information with the highest level of professionalism and confidentiality. Anticipate executive needs and proactively solve problems before they arise. Manage calendars, schedule meetings, appointments, and conference calls across multiple time zones. Screen and prioritize emails, phone calls, and correspondence; respond or redirect as appropriate. Prepare, edit, and proofread correspondence, reports, presentations, and other documents. Coordinate internal and external communications on behalf of the executive team. Serve as a liaison between executives and internal departments, clients, partners, and stakeholders. Qualifications
5+ years of experience supporting C-level executives, preferably in a fast-paced or growing organization. Exceptional organizational and time management skills with the ability to prioritize and multitask. Strong written and verbal communication skills. Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and calendar management tools. Experience with expense and travel management platforms preferred. Event planning experience, including corporate meetings and offsite events. High level of discretion and professionalism. Strong interpersonal skills and ability to build positive working relationships across all levels of the organization.
