Overview
Billion-dollar, privately-held global industrial company in Midtown Manhattan is seeking a new full-time/permanent Executive Assistant to join the Finance Team. This is a newly created position due to company growth. The Executive Assistant will support four senior executives on the Finance leadership team, including the Head of Strategic Initiatives, Chief Accounting Officer, Treasurer, and Vice President, Controller.
Minimum 3-5+ years of applicable administrative experience and a Bachelor’s degree are required. The ideal candidate is a self-starter who is adaptable, personable, results-driven, highly autonomous, proactive, calm under pressure, and thrives in a dynamic, fast-paced environment. This role requires emotional intelligence, reliability, and the ability to independently prioritize complex requests while effectively managing multiple executive personalities and communication styles.
Responsibilities
Strategically manage and maintain the executives’ calendars, scheduling and rescheduling appointments with internal and external stakeholders.
Coordinate domestic and international travel arrangements (flights, hotels, ground transportation) and create itineraries as needed.
Schedule individual, team, and interdepartmental meetings, aligning calendars across stakeholders, operating companies, and time zones.
Prepare and submit expense reports in accordance with company policy.
Handle highly sensitive and confidential information with discretion and integrity.
Organize and prepare for internal and external stakeholder meetings, including gathering documents and managing logistics.
Collaborate closely with other Executive Assistants cross-functionally across the office.
Qualifications
Bachelor’s degree required.
Minimum 3-5+ years’ administrative experience supporting senior executives in a fast-paced environment.
Strong organizational skills with meticulous attention to detail and excellent written and verbal communication.
Excellent interpersonal skills and ability to build relationships with internal and external stakeholders.
Proactive problem solver who anticipates needs and can escalate appropriately.
Ability to work independently and collaboratively in a fast-paced setting.
Strong multitasking abilities with composure and sophistication.
Intellectual curiosity and a drive to continually improve performance.
Openness to constructive feedback and adaptability to refine performance and support strategies.
Experience with G Suite (Google Calendar/Slides) and Microsoft PowerPoint for basic slide creation.
