Provide professional, executive-level administrative support for an Institute executive, typically at the Associate Vice President level. Responsibilities include coordination of correspondence, report preparation, meeting and event arrangements, file/records maintenance, and fostering positive relationships with key external stakeholders and colleagues across campus. Responsibilities
Serve as primary contact with the campus and external community on the executive's behalf. Prioritize appointments and requests for meetings/visits. Coordinate the executive's calendar, meetings, and event arrangements. Prepare correspondence and reports; originate first drafts of presentations, newsletters, and website content; conduct related analyses and research. Develop materials for visits, conferences, and meetings. Coordinate travel arrangements for the executive including processing travel authorizations; may include international travel and travel for visitors. Coordinate signature and redistribution of documents; maintain executive's office filing system and confidential documents. Plan and coordinate office events. May oversee budget and purchasing activity; may coordinate payroll and HR-related functions (time-keeping, PSFs, paperwork, processing). Review and resolve complex administrative questions; recommend new or revised procedures. Provide guidance to others in the unit administrative support group. Provide project coordination and support for special office initiatives. Perform other duties as assigned. Qualifications
Educational Requirements High school diploma, GED Certificate or Vocational School Diploma Required Experience Six to eight years of job-related experience Preferred Qualifications Additional preferred qualifications include applying required skills within a university environment Skills Advanced knowledge of executive-level administration, scheduling, event planning, complex itineraries, customer service, communication, and interpersonal relationship building.
