As a Payroll Specialist, you will be responsible for the full cycle of payroll processing, ensuring the accurate and timely payment of employees in compliance with all federal, state, and local regulations. You will maintain payroll records, handle employee inquiries, and manage payroll taxes, deductions, and corrections. Additionally, you will collaborate closely with other departments to ensure smooth payroll operations and provide exceptional customer service to employees. Responsibilities: Full-Cycle Payroll Processing
– Oversee the complete payroll process, ensuring that all employee wages, deductions, and benefits are calculated accurately and paid on time. Timely and Accurate Payroll
– Ensure employee payroll is processed on schedule, in compliance with federal and state laws, and aligned with company policies. Record Maintenance
– Update and maintain employee payroll records, ensuring accuracy and completeness of personal, tax, and wage-related information. Documentation Accuracy
– Ensure the accuracy and proper retention of direct deposit forms, federal allowance information, and other legally required payroll documents. Issue Resolution
– Investigate and resolve payroll-related concerns and discrepancies on a case-by-case basis by gathering relevant information and ensuring proper adjustments. Correction Checks
– Process and distribute correction checks as needed, ensuring all payroll discrepancies are addressed quickly and accurately. Vacation and PTO Management
– Process and reconcile vacation and PTO requests, ensuring compliance with company policy and proper accruals. Check Distribution
– Coordinate the distribution of payroll checks to job sites based on Field Accountants' Check Request Forms, ensuring timely delivery. Customer Service
– Provide exceptional customer service to employees, addressing payroll-related questions, concerns regarding tax issues, and handling voluntary and involuntary deductions. Payroll Taxes
– Process weekly payroll tax filings to ADP, ensuring accuracy and timely payments. Reconcile ADP Invoices
– Review and reconcile ADP invoices and payroll exceptions to ensure accurate charges and resolve any discrepancies. State and Local Tax Accounts
– Set up and maintain company state and local tax accounts for proper tax reporting and compliance. Maintain Tax Rates
– Keep state tax rates up-to-date in payroll systems, ensuring correct tax calculations for each state where employees work. Additional Duties
– Perform other payroll-related tasks as assigned, such as assisting with audits, preparing payroll reports, or supporting special payroll projects. Education & Qualifications: High school diploma or equivalent required. Accounting degree or equivalent field of study preferred. 5 to 7 years of experience processing high-volume, in-house, full cycle payroll, with a solid understanding of payroll best practices. Experience with Vista Viewpoint preferred. Intermediate to advanced proficiency in Microsoft Excel. Strong working knowledge of payroll systems, tax laws, and payroll best practices. Required Skills: Excellent problem-solving skills with the ability to handle difficult situations with employees calmly and discreetly. Strong organizational skills with the ability to manage multiple tasks, prioritize effectively, and meet deadlines. A proactive approach and strong sense of urgency, with the ability to work independently with minimal supervision. High level of interpersonal skills with the ability to communicate effectively, both written and verbally. Detail-oriented, ensuring accuracy in payroll data and calculations.
