Overview Description:

The Payroll Specialist is responsible for accurately processing payroll information into the payroll system and processing an accurate bi-weekly payroll in accordance with the Department of Labor standards and guidelines and other state or federal regulatory bodies. As the owner of the payroll database, the Payroll Specialist will utilize existing reports and create ad-hoc reports as necessary to perform the necessary audits and reconciliations associated with all aspects of payroll processing and reporting. In addition, the Payroll Specialist is considered a subject matter expert in the Department of Labor standards as related to payroll processing and administration of PTO benefits for exempt and non-exempt employees.

Responsibilities

Ensure accurate and timely processing of regular and supplemental payrolls, including time and attendance data and reconciling variances and resolving errors

Coordinate with HR on payroll changes and updates

Building and maintaining employee PTO accruals

Performing an accurate reconciliation of payroll prior to submission for processing

Year-end reconciliations of W-2's, quarterly reconciliation against payroll reports, and review preparation and submission of quarterly, yearly and weekly reports required by payroll processor and state regulatory bodies etc.

Supporting the external audit process, including preparing source documents for audit review and creating schedules and reconciliations as required prior to and throughout the external audit process

Performing routine pre- and post-payroll processing audits and reporting to include but not limited to: Deduction and contribution reporting

Review and process employee expense reporting and payouts

Ability to develop training materials and educate departmental managers to accurately process payroll paperwork and reflect employee time and attendance within the time and attendance system

Requires an understanding of employee handbook regarding time off, company leave policies and employee benefit plan documents

Cross-training in other departmental duties in order to provide relief as necessary at peak times of the year, and during vacation periods and may undertake other accounting related functions as determined by the Controller

Attend seminars, conferences and network with peers at the state level in order to maintain subject matter knowledge and expertise

Loan and employment verification, and other similar verification requests

Workman’s Compensation/Unemployment paperwork review and verification

Other duties assigned as required

Minimum Qualifications

In-depth understanding of payroll processing, employee benefits and DOL standards and guidance in relation to payroll processing for exempt and non-exempt employees

Understanding tax reciprocity

Advanced computer skills, including Payroll and Time and Attendance software (UKG Pro), Microsoft Suite (with advance skills in Excel)

Ability to handle multiple, simultaneous tasks and remain calm and professional under stress

Excellent verbal and written communication skills with employees at all levels throughout the organization

Excellent organizational skills and attention to detail

Exceptional time management skills with the ability to be flexible, strategically reactive and meet deadlines

Ability to identify issues, make decisions, and resolve problems

Ability to work occasional overtime, weekends, and/or holidays

Maintain high level of confidentiality with all information contained within scope of employement

Required and Preferred Education and Experience

Bachelor’s or Associate’s Degree in Finance, Accounting or related field preferred

3-5+ years of payroll experience required

Experience in payroll processing software (UKG Pro) strongly preferred

CPP (Certified Payroll Professional) certification strongly preferred
