Job Summary:
The Food & Beverage Administrative Operations Manager is responsible for overseeing and executing a wide range of administrative tasks within the Food & Beverage department, with a focus on providing excellent guest service and supporting the field operations. This role involves managing payroll processes, including salaried manager payroll, employee job changes, and weekly reporting, as well as conducting financial analysis and assisting with budgeting. The position requires strong leadership skills to hire, train, and support administrative staff, as well as to coach and mentor Office Assistants and field managers throughout the season. Additionally, the manager is responsible for maintaining and updating various administrative systems, creating training materials, assists in menu design and ensuring compliance with company policies and procedures related to safety, environmental practices, and departmental standards. Salary $73,673.00 annually Schedule: Typical schedule is 40+/- hours, 5 days/per week (may include weekends, early mornings, evenings, and holidays)

Perform all duties toward the goal of providing excellent guest service in an efficient manner. Hire, train, support, motivate and follow-up with the Food & Beverage Administrative Assistant, and Manager of Field Administration. Oversee all facets of Manager of Field Administration responsibilities during their absence and between their agreement dates, including assisting locations with payroll problems, weekly payroll reports, auditing, etc. Enter and track all aspects of salary manager payroll. Process manager job changes and update manager payroll binder. Enter manager time in the Timekeeping System weekly. Calculate manager payroll expense for payroll reporting sheets. Research employee payroll questions. Add correction to Payroll Upload, with documentation, as necessary. Complete, email and track weekly Declared Tips audits for manager follow-up Prepare budgeted payroll/revenue reporting Excel spreadsheets for every location operation every fiscal period. Put on network. Process computer access for Managers, Office Assistants, Storekeepers and F&B Support Staff. Delete access as necessary. Work closely with Payroll and HR departments to assure that employee job code and wage information is correct in computer systems. Complete hourly employee job changes when necessary. Enter and approve Support Staff time in Payroll system. Track and enter Full-Time Support Staff holiday payroll. Complete holiday pay benefit time sheets, get signatures and forward completed form to HR. Create purchase requisitions in CloudSuite for services, miscellaneous supplies and non-cap items as needed for the field and support office. Scan invoices to ensure proper payment. Track ordering and delivery. Generate and analyze weekly payroll to sales reports and overtime reports. Calculate and enter conference service/banquet tips in Timekeeping System. Assist the Director of Food & Beverage in the budgeting process as directed. Oversee the updating of seasonal menu specs. Organize the copying and binding of specs, manuals and other training materials. Update Job Codes & Wages sheet and Job Codes by Location sheets as changes occur. Update, distribute and participate in Support Staff Orientation. Create, present and provide materials for Management Training classes involving management payroll responsibilities Train Office Assistants during the spring opening period, requiring in-park overnight travel. Coach and mentor Office Assistants and field managers throughout the season to help ensure their success in the administrative aspects of their roles. Provides positive support and coverage for the field as necessary. Review and update holiday pay for seasonal core employees then forward to HR for entry. Qualifications
Education:
Bachelor's degree in Accounting, Business Administration, or a related field preferred. Equivalent experience may be considered in lieu of formal education Experience:
Advanced knowledge and experience with Microsoft Excel, Word, Outlook, and Timekeeping System procedures required. Experience with General Accounting practices required. Relevant experience in in food & beverage operations preferred Experience with Canva, InDesign and Adobe Illustrator preferred Experience with Cloudsuite preferred. Skills:
Commitment to offering excellent guest service, internally and externally. Ability to effectively communicate verbally and in written form; in person, via phone and email. Attention to detail, accuracy in work produced and ability to prioritize workload. Knowledge of Company structure and policies helpful. In-park and over-night travel required. This position requires flexibility to do whatever it takes to support the field operations. Knowledge of Yellowstone National Park and its giest services and facilities helpful. Must be able to stand for long periods of time, approximately 8 hours. Must be able to walk for long periods of time. Must be able to sit for long periods of time. Must be able to lift and carry a minimum of 25 pounds. Must be able to bend, stretch, and reach for extended periods of time. Must be able to work a varied schedule including nights, weekends and holidays.
